How to log in for the first time as a basic user

Smart Arena offers several login options. The most basic one is with a username, which is usually the user’s email address, and a password. First, type out your company's domain (usually looks something like https://companyname.esmartarena.com into the chosen web browser and log in with your username and password. 

The password can be pre-set by the organization or chosen by the user during the registration process (via email invitation to Smart Arena). Administrators can also reset the password if necessary. 

When logging in, there is also an option to have the device remember the user. In this case, login credentials are saved on the device, making it easier to log in. While this option simplifies access, it is less advisable from a security perspective, as anyone with access to the computer could also access the application.

Multiple Instances Access Login

Multiple Instances Access Login is a feature in Smart Arena that allows users to log in and access multiple organizational or departmental instances with one username.

This feature is particularly useful for companies or institutions that operate across different regions or business units, enabling seamless navigation and management of various profiles without the need for separate credentials or repeated logins.

An example of an employee needing multiple instances login in Smart Arena could be a trainer working for multiple companies.

For instance, Sarah is a freelance trainer who delivers courses for two different organizations using Smart Arena. Each organization has its own instance of the platform with separate course materials, branding, and user groups. Sarah needs the ability to switch between these instances seamlessly to access the appropriate courses and manage her training responsibilities efficiently.

How Does It Work?

  1. Users log in once using their credentials.

  2. If they have access to multiple instances (organization profiles), they can switch between them from within the same session. By clicking on the user in the top right corner, the option to switch instances (organization profiles) will be displayed.

Custom Roles Across Instances

User permissions and roles are defined per instance, ensuring that users have the appropriate level of access in each organizational context.
