Adding certificates to your courses in Smart Arena is an excellent way to recognize and reward learners' achievements. Certificates not only serve as proof of successful course completion but also motivate learners to stay engaged and accomplish their goals. They can be tailored to reflect your organization’s branding, making them a professional and meaningful credential for participants.
To set up certification for a course, go to Content management segment in the navigation menu and open the Content overview tab.
Use the search bar or manually locate the content you want to add certification to.
Hover over the content card for buttons to appear.
4. Click on Certification to open the form.
1. Upload Certificate Image
In the Upload Certificate Image section click Upload Certificate Image to upload a custom certificate design.
If you want to exchange it, click on the Replace image button under the image.
This image will serve as the background of the certificate, and information like the user’s name and completion date will be overlaid on it using the Editing tool.
Here is an example of an empty certificate:
2. Set Certificate validity
Define the validity period of the certificate in the Certificate validity section. Setting certificate validity is important because it ensures certificates align with organizational needs and compliance requirements. It provides flexibility in defining whether certificates should have an unlimited duration or a specific expiration period. This feature is crucial for maintaining up-to-date qualifications, ensuring security, and managing compliance with industry standards.
Unlimited validity: Enabling this option gives the certificate unlimited validity. Once the toggle is turned on, the certificate validity field will turn grey.
Suitable for certifications that represent permanent skills or achievements, such as foundational training or lifetime memberships. This reduces administrative overhead by eliminating the need for renewal.
Limited Validity: If you prefer to set an expiration, specify the number of months the certificate will be valid. The validity period will begin from the date the certificate is issued.
Use cases for limited validity:
Compliance and Quality Assurance: Ensures certificates meet industry regulations, align with evolving standards, and verify up-to-date skills.
Continuous Learning and Development: Encourages regular training renewals to maintain relevance and promote lifelong learning.
Role and Responsibility Management: Restricts outdated certificates to ensure only qualified individuals hold specific roles or privileges.
Tracking and Renewal: Helps HR and managers monitor training needs, plan renewals, and prevent misuse of expired certificates.
3. Template certificate
The certificate created in this process is related only to the content we are creating it for. If you want the certificate to be a reusable template that can be used in other courses, turn on the Save as template toggle. Once it is turned on, a Title field will open.
That way the certificate will appear when creating a course under Certificate (step 6 for e- and live courses and step 5 for surveys).
4. Click Save
Once you have finished click Save. This step will enable the Launch tool to edit the certificate information under the Certificate validity section.
5. Editing the Certificate with the Launch tool
To edit the information on the Certificate click Launch tool. You can also preview the certificate.
5.1 Add information fields to the certificate
Add the information you want included by selecting the information you want.
Click on the information field you want to add under Available fields.
Click anywhere on the image to set the chosen field.
Reposition the field by clicking, holding, and dragging the blue circle button. Delete it by clicking the X button and format it by clicking on the arrow.
You can add as many of the available fields as you need. Here are the available fields:

Last name | The last name of the user receiving the certificate or enrolled in the course. |
Date | The date associated with the certificate issuance or course completion. |
Valid to | The expiry date for the certificate, indicating how long it remains valid. |
Content title | The title of the content or training module associated with the certificate. |
Author | The name of the person or entity that authored the course content. |
User location | The geographic location of the user receiving the certificate. |
Organizational Unit | The department or unit within the organization to which the user belongs. |
Mapping code | A unique identifier or code used for mapping certificates or user records. |
Course title | The title of the specific course completed by the user. |
Score | The user’s score or performance in the associated course or assessment. |
Organization | The organization to which the user or certificate recipient belongs. |
Date of birth | The date of birth of the user, often for identification purposes. |
Workplace | The specific workplace or site where the user is employed or associated. |
This table helps clarify the purpose of each field and how it can be utilized in Smart Arena for certificate generation or course management.
Click Save. Preview the certificate while editing if needed.

6. Save the Certificate
Once you’ve configured all the certificate settings, click Save to finalize and apply the certificate to your course.
