Outgoing email address for email notifications

The Outgoing Email Address section allows you to configure the email settings for your organization. These settings determine how and from what email notifications and messages are sent to users. Configuring an outgoing email address for email notifications is useful because it ensures that all system-generated emails are sent from a trusted and recognizable address. This improves the professionalism and credibility of the organization’s communication while reducing the chances of emails being marked as spam. It also allows organizations to maintain consistency in branding and provides users with a clear point of contact for notifications.

You can access this setting under the Organization management in the navigation menu by going to the Manage Organization tab and selecting Advanced Settings at the top of the page. Scroll down to find the Outgoing email address setting.

  • Email Address Field

This is the email address used to send messages from the application. It serves as the sender's email address that recipients will see when they receive notifications or communication from the system.

  • Send Messages from a preset email

This option allows you to enable or disable the use of a preset email address for sending messages.

If enabled, messages will be sent using a predefined system email address rather than a custom one.

  • Default Subject Line

This field allows you to define default text for the subject line of outgoing emails. It ensures that all messages sent from the application have a consistent subject line, enhancing clarity and professionalism.

Setup process - Configuring custom Email sending

If you want emails sent from the Smart Arena application to appear as if they are coming from your email address (e.g., info@amazingco.com instead of info@esmartarena.com), please follow these steps:

  1. Ask for SPF and DKIM details. The Smart Arena technical team will add your domain to their email service and generate the necessary SPF and DKIM records.

  2. Provide these records to your IT team or the person responsible for managing your domain's DNS.

  3. Add the records to your DNS. Your IT team must add the provided SPF and DKIM records to your DNS configuration. These records ensure that Smart Arena is authorized to send emails on behalf of your domain.

  4. After the SPF and DKIM records have been added, inform the Smart Arena technical team. They will verify the setup to ensure everything is working correctly.
