User grouping is a powerful feature in Smart Arena that allows organizations to delegate educational materials more efficiently. By organizing users into meaningful groups based on their roles, locations, or departments, administrators can streamline the process of course assignment, enrollment, and reporting. Smart Arena offers three primary ways to group users: Organizational units, Workplace Grouping, and Location Grouping.
Organizational units
Organizational units refer to dividing the organization into different hierarchical or functional units. Each unit represents a division or department within the organization.
Administrators can assign specific courses or learning materials tailored to the needs of a particular unit, such as sales, human resources, or IT. Org. units allow for role-specific training programs, ensuring employees receive relevant content. Reporting can be filtered by org. units, enabling insights into department-specific performance metrics. See Org. units management.
Workplace Grouping
The workplace feature allows organizations to categorize users based on their specific roles or "job titles". This provides granular control over the educational material assignment at the specific workplace level.
Administrators can create targeted learning paths for specific job roles, such as "HR Manager" or "Assistant Sales Associate."
Helps ensure that employees in similar roles have access to the same training resources and development opportunities. See Workplace management.
Location Grouping
Location grouping organizes users based on the geographical locations or offices they work from. Location-based grouping is ideal for companies with multiple organizational units across different cities or countries and those that offer work from home.
This enables administrators to assign location-specific training, such as regional compliance courses or language-specific material.
Facilitates localized reporting to monitor performance and training completion rates at each office or remote location. See Location management.
How to Implement Grouping in Smart Arena
Navigate to the Organization Management Menu: Use the Manage Organization tab to set up org. units, workplaces, and locations.
Create Org. units: Add departments or divisions under the Organizational units section. See Org. units management.
Set Up Workplaces: Define specific roles within branches and assign users to these workplaces. See Workplace.
Assign Locations: Add offices or remote locations to categorize users geographically. See Locations.
