Managing course access and assessment attempts is crucial to ensuring a seamless learning experience for users. The platform provides options to handle scenarios where course access has expired or users have exceeded the allowed number of unsuccessful assessment attempts. These features help administrators maintain course availability and offer additional opportunities for users to complete their learning journey effectively.
Expired course access
If a user does not complete a course due to expired access, their enrollment can be reset. This is done in the user Reporting tab (Course per User) in the Actions column.
Access may be revoked in two scenarios:
The Course Has Concluded: This occurs when the course availability has officially ended, making it unavailable to users. It indicates that the course lifecycle is complete and no further access is granted.
The Access Period Has Expired: This happens when the designated access timeframe for a user (e.g., based on enrollment terms) has lapsed, even if the course itself is ongoing. In such cases, access must be manually reset if applicable.
Reset enrollment
A reset can be done under the Reporting tab by clicking Courses per User.
First, enter the time frame of expiration and click Show. Use the Search bar to find the user you want to reset access for or scroll through the user list. In the last column, titled Actions, hover over the wheel icon to open more actions. By clicking the Reset enrollment date, the access will be reset. This option is only available if the access period has expired not if the course has ended.
Enrollment date can be reset only for the courses that have the field Access days from enrollment filled in. The user can therefore access this course for a specific number of days within the time the course is active (e.g. the course is active for 2 months but users can access it for 5 days from the enrollment).
Too many unsuccessful assessment attempts
If a user is unsuccessful in their end-of-course assessment and the number of attempts is limited, the test attempts can be reset for the user to be able to finish the course. The process is as follows:
Navigate to Courses per users. First, enter the time frame of the course and click Show. Use the Search bar to find the user you want to reset assessment attempts for or scroll through the user list. In the last column, titled Actions, hover over the wheel icon to open more actions.
By clicking on Assessments, an individual user's report will open.
The finished assessments with the spent time, score, and answers (detailed information about the correct and incorrect answers) are located at the bottom of the page. Here you can delete assessment attempts by clicking the trash can icon beside them.
Important!
The best test attempt cannot be deleted.
You can delete lower-scoring attempts using the trash icon on the right.
Access is automatically restored, and the user will have as many new attempts as were deleted (e.g. if the total number of attempts is 3, and we were able to delete the worst 2, since the best attempt can not be deleted, the user will be able to retake the assessment two more times).
