Create or edit positions for your rotas

Positions will tell what kind of shift it is. It could be for example waiter, bartender or kitchen. Positions are added to the shift to ensure that the employee is able to take the shift. Sometimes it might be necessary to add new positions, edit existing positions or delete positions.

All of this can be done, if you go to "Settings" → "Smartplan Settings" → "Positions".

How to create a position

If you want to create a new position, you have to go to "Positions" -> "Create new position":

Click the arrow and you will now see the option to create previous positions (deleted positions) and the option to create a new position. Click "Create new title":

Then simply name your new position and press "Save":

You have now created the new positions and it will be listed under "Current positions":

How to assign positions to your employees

You can assign the positions to your employees by editing an employee's profile under the menu item "Employees", but you can also add a position to several employees at the same time easily and quickly.

To do this, click "Edit" next to a position:

In addition to being able to change the color and name of the position, you will now be able to see all the employees who have the position you clicked on. Here you can also choose which of your employees should have the position. In my example, the employees with blue check marks are the ones who have the position "Baker":

To select/deselect who should have the position "Baker", you just have to put a check mark next to who should have the position:

Allow employees to adjust their positions themselves

Basically, regular employees cannot add positions to their users. It is only possible for administrators. However, it is possible for administrators to allow employees to add or remove positions to their profile themselves.

Admins can allow this, if they check mark the box next to "Allow that employees can change their own positions":

Edit or delete your positions

You have the option to change both the name and color of the positions. Click "Edit" next to the position you want to edit:

Now you can both edit the name of the position and choose which color the position should have:

When you have finished editing your position, you can press "Save". You can also delete the position by clicking "Remove".

When you change the name and/or color of an existing position, your employees will still have the position. It is only necessary to assign new positions to your employees. Alternatively, you can also let your employees do it themselves.

As soon as you save your changes, it will be automatically corrected in the rota.
