How locations and positions can be used together

Here is a suggestion on how you can use your locations and positions together to make your locations more manageable.

It is currently not possible to assign your employees to a specific location. But here are two tips on how to use your locations and positions with each other. You can either create several different locations on the account and make rotas for each location, or you can schedule all shifts for all locations in one rota. Whichever solution you choose, start by creating the postions you need on the account.

In this article, we will go through how you:

Create positions, that suit your needs

In "Settings" → "Smartplan Settings" → "Job Types" you can create the different positions you need. Let's say that you have restaurants in London and Manchester, for example, and that you would like to make rotas for the kitchen, bartenders and the waiters. In that case, you can create the following job types:

  • Bartender - London

  • Bartender - Manchester

  • Chef - London

  • Chef - Manchester

  • Waiter/waitress - London

  • Waiter/waitress - Manchester

This will provide an overview of which location the employees belong to when making rotas.

You can also choose what color each position should have. Different positions can have the same color.

Use locations and positions together in one rota

If you want an overview where you can see the shifts for all your different locations, then it is easiest solution for you is to add the shifts in one overall rota.

To get started with this, go to the "Rotas" page, where you can select "Create New Rota".

When you add shifts to the rota, you simply select the positions that should be included in the rota. Since all the locations must be gathered in the same rota, be sure to add shifts that have all the different positions you have created on the account. This means that a day in the rota may, for example, look like this:

When you staff the shifts, you will be able to see which employees that are available on the day. The people under "Available Employees" will be employees who have a suitable position for the specific shift:

In this way, you can make sure that employees only get shifts at the locations where they work on a daily basis.

An employee can easily be associated with several locations in your company. In that case, simply make sure that the employee has all the relevant positions associated with his profile. You can always change which positions the employees have in "Settings" → "Smartplan Settings" → "Positions".

Use locations and positions together in several different rotas

If you want to plan the rotas individually for the departments or areas you have, then you must make rotas for each location individually.

You do this by creating the different locations you need. This can be, for example, the names of different departments in the company or different addresses that you have offices/restaurants etc. at.

You can create new locations under "Settings" → "Smartplan Settings" → "Locations":

Then the different locations will be visible on the front page, and you can create separate rotas for the locations:

When you then create a rota for a location, for example for the location "London", you create shifts that have the position "London" in them:

Then, only employees with the position "Chef - London" can take this shift.

If an employee has to work in several different locations, you can assign the employee several different positions. You can edit your employees positions by going to the menu-item "Employees". Just click "Edit" next to the employees name, and now you can change the employees positions.

If you have to assign new positions to a lot of employees, you can edit all your employees' positions at once if you go to Settings → Smartplan settings → Positions.
