SmartVent values your personal data privacy and as a company incorporated in the EU, we plan to go above and beyond in complying with GDPR requirements.

SmartVent is a Data Controller as defined by GDPR. 

We collect personal data in our application for reasons listed below. We strive to keep the data we need for our business purposes minimal and separate, so multiple Data Processors cannot be used to build a detailed profile of your usage.

Access to personal data in SmartVent is strictly controlled and logged. It is audited regularly for unnecessary access to your personal data. Additionally, we take multiple security measures in order to prevent your data from falling into the wrong hands.

The kinds of data we collect

Across multiple Data Processors and the SmartVent Web application, we collect the following data points:

  • Online identifiers, including cookie identifiers, internet protocol addresses and device identifiers; client identifiers
  • Coarse location data (country)
  • E-mail address
  • First and last name
  • Pages you visit on SmartVent websites or the SmartVent web application

The purposes we use this data for are described under the Data Processors section. Each Data Processor serves a different business purpose and helps us provide a great product for our users.

Data collected by the SmartVent Web application

The SmartVent Web application collects data in order to authenticate you and allow you access to the application, and in order to allow you access to only the specific data points needed.

When you use the SmartVent Web Application, we collect the following data:

  • First name
  • Last name
  • E-mail address
  • IP address that you used to log in to SmartVent

This data is collected in order to provide the SmartVent service to you. Without collecting this data, logging into SmartVent is not possible.

This data is retained for as long as you use the SmartVent platform.

Data processors

We use multiple Data Processors to collect and analyse personal data in order to run our business and make business decisions.

Here's a list of all data processors we use:

Mixpanel

Mixpanel is a business analytics tool that can tell us how much a feature is being used, or measure how effectively our website gives information to visitors. 

When you use the SmartVent Web application or visit our websites, we collect the following data via Google Analytics Suite:

  • Anonymous ID
  • IP address and coarse location (country)
  • Events about which items on the page you have clicked

We use this data in aggregate in order to measure how much particular features of the SmartVent platform are being used. This helps us know where to focus our development efforts, and to make business decisions.

This data is retained for up to 5 years.

Mixpanel has signed a Data Protection Agreement with us, is situated in the US and data flow is protected with the EU-US Privacy Shield agreement.

Google Analytics Suite

Google Analytics Suite is a collection of tools designed to help make business decisions and run trials, such as A/B tests.

When you visit our websites, we collect the following data via Google Analytics Suite:

  • Online identifiers, including cookie identifiers, internet protocol addresses and device identifiers; client identifiers

We use Google Analytics Suite for purposes like counting the number of visitors on our website. We never have access to the data on a single user basis.

This data is retained for up to 14 months.

Google Analytics Suite has signed a Data Protection Agreement with us, is situated in the US and data flow is protected with the EU-US Privacy Shield agreement.

Gsuite

Gsuite is the new name for Google Apps for Work, which we use internally to manage our email as well as document storage. In order to receive email, your email address is sent to Google to be processed for us into a web-based email client.

When you send us an e-mail, we collect the following data via Gsuite:

  • E-mail address
  • First and last name, if provided in the e-mail sender field. 

This is needed for us to send you e-mails. If you send your first and last name along with your email address, we use it to address you by name when sending you e-mail communications.

This data is retained for as long as you use the SmartVent platform or choose to communicate with us.

Google has signed a Data Protection Agreement with us, is situated in the US and data flow is protected with the EU-US Privacy Shield agreement.

Intercom

Intercom helps us provide excellent customer support and information for your usage. 

When you contact us on Intercom Messenger, we collect the following data via Intercom:

  • Unique client identifier
  • First and last name, when provided via Intercom Messenger or the SmartVent Web application
  • Email address, when provided via Intercom Messenger or the SmartVent Web application
  • Coarse location (country)
  • Currently opened page on SmartVent websites or the SmartVent Web application

When you do not currently use the SmartVent Web application, data provided by you is used to contact you or set up meetings.

When you currently use the SmartVent Web application, data provided by you is used to verify your identity when in support chats, provide accurate support information and measure your usage of SmartVent.
Additionally, this data may be used to personalize communication messages to you and provide more accurate automatic messages.

This data is retained for up to 9 months.

Intercom has signed a Data Protection Agreement with us, is situated in the US and data flow is protected with the EU-US Privacy Shield agreement.

Deletion / Right to be forgotten

If you wish for your data to be deleted from the SmartVent Platform or any Data Processors we use, then simply contact us on Intercom Messenger or via info@smartvent.ee. Note that some information cannot be deleted without losing access to the SmartVent Platform.

Right to Object

If you wish to halt sending personal data to SmartVent Platform, Intercom or Google Analytics, please contact us on Intercom Messenger or via info@smartvent.ee

To halt sending personal data to Mixpanel, you can opt out by enabling Do Not Track in your web browser's settings. Click here to find out how to do it.

Right to Access and Data Portability

If you wish to receive an exported file of personal data collected by us, please contact us on Intercom Messenger or via info@smartvent.ee.
