Setting up accounting integration

Learn how to integrate SmoothPay with your accounting system and set your posting preferences.

This guide explains how to set up your accounting integration, choose your posting method, configure ledger mapping, and apply optional tracking categories such as departments, job codes and activities. These settings determine how payroll costs flow into your accounting system.


Selecting your accounting system

To choose your accounting system:

  1. Go to Settings

  2. Select the Accounting tab

  3. Select your accounting system from the Ledger type field

  4. Click Save


Setting your posting method

Your posting method determines how payroll data is delivered to your accounting system.

Common posting methods include:

  • Automatic - posted via API

  • Costing File - download and import

To set your posting method:

  1. Go to Settings

  2. Select the Accounting tab

  3. Set the Posting method field

  4. Click Save

Note: If we provide an Automatic method for your accounting package, the spanner button may need to be used to complete setup.


Posting a journal to your accounting package

While there are testing options available within the Pay reports menu, posting a journal is designed to be done after completing a pay process.

To post a journal:

  1. Go to the Reports screen

  2. Select the Pays category

  3. Select Cost centre analysis (batch)

  4. Click Run report

  5. Select the pay period you wish to post

  6. Click OK.

The standard report will appear, but depending on your Posting method:

  • Automatic - window confirming connection to account package appears

  • Costing File - a costing file will be generated in the Files screen, commonly named glcosting.txt

Either confirm the connection, or download and import the journal into your accounting pacakage.

The Setting up and using cost centres guide must be completed before posting a journal, as the expense codes and holding accounts need to match the chart of accounts in your accounting package.
