What Are Message Templates?
Templates allow you to pre-program how you want to send messages to your customers. This includes the type of message you want to send (confirmations, reminders, and follow-ups) as well as the message and timing for each type of message. That way all you need to do is activate the reminder and your messages will be programmed to send.
With your template, you can choose how it behaves. You can send Confirmations, Reminders, and Follow-ups or any combination you like.
The message behaviour is based of the start & end times of the appointment in your calendar.
Confirmations will be sent based on when you activate the reminder. For example, you can send the confirmation message immediately after activating or set a delay.
βNote: if you make a change to your appointment's date or time, a new confirmation message will automatically be sent.Reminders are sent in advance of the appointment start time. For example, 1 hour before the appointment starts.
βNote: All-day appointments start at Midnight.Follow-ups are sent after the appointment completes (the end time in your calendar). For example you can send the follow up immediately or the next day.
Here's an example that includes all 3 message types. When you activate the reminder on an appointment the recipient will automatically receive:
A confirmation message immediate after activating the reminder.
A reminder message 1 hour before the start of the appointment.
A follow-up message 24 hours after the appointment completes.
Create Multiple Templates
You can create as many templates as you like. Each template can be customized so it has different message types and message content. For example you can create a template that will just send reminders and not confirmations or follow-ups. You can also create templates that have different message content to allow you to send messages for different services or business locations. You can even change the timing for the messages. Do what works best for you!
Here's an example from the message editor. You can customize how the templates are used in several ways:
Set a default template to be used for all of your appointments.
Link a template to a calendar in your Google account so you can have a different default template on a per calendar basis.
Manually change the template that's used on a per-appointment basis.
Customize the message for specific appointments so no template is used.
