Overview:

The Settings page presents the default screen below. It provides easy access to the various setup requirements, customisations and preferences.

Settings related articles are provided in two formats.

  • This article is designed to be a Settings All-In-One reference article. Allowing you to scroll/scan/browse/search through All settings.

  • In addition, each Settings menu item described here is extracted into separate articles and are accessible via links

The Settings page is divided into two frames:

  • The left hand frame is a menu from which you select, and

  • The right hand frame shows the details related to the selected menu

Descriptions:

Most of the information is self-explanatory and setup as you progress with your usage of Sparky to support your business. So, descriptions have been expanded where additional information around the topic could be helpful. Also, text headings from the images are included to assist with searching.

  • #1 - Account

    These are the settings related to the primary user account (generally the Owner or approved Delegate). Here you can input the following:

    • Display Name: your initial is used in the top right hand corner

    • Username: what you login with, unless you are set up with a mobile and a One-Time-Password (OTP)

    • Email

    • Mobile

    • Account Number (with your Sparky Supplier)

    • Role and Rates for the Primary User (generally the Owner or Delegate). These become the default labour values that are auto-filled across Quotes, Jobs, Invoices etc, and can always be changed when/where required.

    • GST (default on setup is Registered, but can be Unregistered)

    • Security: If using a username and you would like to use a pin instead, select 'Use Pin' and set up your mobile and a One-Time-Password (OTP)

    • Change Password

  • #2 - Company

    These are the settings related to Company level details. Here you can input the following:

    • Logo, image and adjustments

    • Business Details (Name, Contractor Name, Address, Phone, Email, ABN, License No and Sparky Supplier Info: Unibis Account, Domicile

    • Bank Account Details (this appears on your invoice)

    • Delivery Address List (for your Orders)

      • Select any row to edit and set defaults (same as for a New Address), or

      • Select 'New Address' and enter in the details (image further below)

This is the Add/Edit Address screen:

  • #3 - Personalise

    These are the settings to personalise Sparky to your requirements. Here you can input the following:

    • Enable Staff Mode: Select this if you have Staff, and you will be see the top-level menu Scheduler, with Staff as a sub-menu, to manage schedules and staff details

    • Default Home Screen

  • #4 - Job Management

    These are the settings related to Job Management. Here you can input the following:

    • Default Contact view for Quotes/Jobs/Invoices: Select to be presented with only Customer or Contact information, or both

    • Require Customer Signature: Select preferred options

    • Document Number: Input a number if you already have a number system going, and then Sparky will increment from this number

    • Job Number Prefix: Input a prefix if preferred

    • Custom Activities: These can be used for non-billable activities (e.g. Quotes, Holidays, Travel Time, Dentist Appt etc). Once entered here, they can be selected in your calendar. Often used so that actual availability for scheduling jobs is visible.

  • #5 - Pricing

    These are the settings related to Pricing. Here you can input the following:

    • Margin/Mark-Up: Here you can set company Margin/Mark-Up default percentages for Product, Labour and Other Items (e.g. Waste Disposal, Call Out Fee etc). These percentages are used and auto-filled within Quotes, Jobs, Invoice etc, and can always be changed when/where required.

    • Customer Pricing Levels: To activate, select 'Enable Customer Pricing'.

      This allows you to create special pricing levels for special customers (e.g. VIPs, Friends and Family, Large Accounts etc).

      • Select any existing row to Edit (same screen as Add Customer Type)

      • Select 'Add Customer Type' and enter in the details (image further below)

      You can then select a customer from your customer list and set their 'Type' to one of the Customer Type's created here. Then the prices within the Customer Type will apply (over Company defaults) for any new Quotes, Jobs, Invoices etc, for that customer.

  • #6 - Quote/Invoice

    These are the settings related to Quotes and Invoices. Here you can input the following:

    • Show Job Contact details on PDFs

    • Show Additional Notes on PDFs (for Quotes)

    • Show Additional Notes on PDFs (for Invoices)

    • # of Days (Invoice is due). Say, 14 entered.

    • # of Days for Notification (before due). Say, 4 entered.

      The two numbers above work in pairs. If set as per the example above (14 & 4), the reminder notification will go out on the 10th day (only if both numbers are set)

    • Invoice PDF Prefix

#7 - Templates

These are the settings related to Templates. Here you can input the following to customise your Templates (across Emails and GPS notifications) with preferred phrasing and details.

Anything you see within "< >" is just a placeholder, to indicate it will be replaced with a relevant value from within the Sparky system. For example, when you see <Customer Name>, it will be replaced with 'John Brown' (if that is the name in the Sparky system for that Customer).

  • Email Templates to Customers (Subject & Body pairs), for any

    • Quote

    • Draft Invoice & Tax Invoice

    • Invoice Due

  • Notification Templates

    • GPS - Staff on the way to Job Contact (bell notification)

    • GPS - Staff on the way to Job Contact (SMS)

    • GPS - Staff on the way to Job Contact (SMS) - GPS not enabled

ps. hover your mouse over the 'i' symbol for a tooltip of available parameters that you can select from

  • #8 - Calendar

    These are the settings related to the Calendar. Here you can input the following:

    • Working day Start

    • Working day End

    • Default View (Calendar or Resource)

    • Time Zone

  • #9 - Customer Payments

This is the setting related to Customer Payments

  • #10 - Integrations

    This is the setting related to Integrations between Sparky and the following accounting systems. This facilitates the seamless exchange of data related to Customer Details, Supplier/Purchase Invoices and Customer/Sales Invoices:

    • MYOB AccountRight Live

    • MYOB Essentials Online

    • QuickBooks Online Plus

    • Xero

  • #11 - About

    The About settings, conveys the following reference information:

    • Sparky version number

    • Terms Of Use
