Associated Entities Roles

Add pre-built associated entity roles

The "Associated Enties Roles" feature of spektr allows you to simply drag and drop the needed Associated individual or company roles into the form you are building. This will allow you to have one form where the individual data and company data can be filled in as one process. It also offers the option to add multiple individuals in different roles in the same form. These will then be connected to the company information that is filled out in the "company" tab. Here is how you set it up:

One you create a new process via the Create Process button on the top right on your Processes page.


Choose to create an Onboarding Process in the top left.


Add and name the process.


Then add your first step of the process. You can add a form to collect data on the individuals and companies.


You will start out with the empty form. You can add visual elements such as Title, paragraph (short text description) and a divider line.


Once you have added the visual elements, you can click on Associated Entities Roles.

Senior Management / Key function holders
Board of Directors
Controling Entities
Subsidiaries
Authorized Signatories (Power of Attorney)
Contact Person

Adding the required entities by dragging them into the form, for example the Ultimate beneficial owners:


You can see that one form is being created that displays both the Individual and Company information.

Standard fields are added automatically, such as "Full name" and "Roles".
Fields for Ownership percentage and Control type are also available.

If you need more information, you can just drag the required fields into the form.
For example: go to the fields via the left menu, and then go to Individual. In this example we have added TIN number, Nationality, National ID and Email.



ADDING MULTIPLE ROLES
If needed, you can also add other roles to the form to have filled in through the same form step. For example, here we add Board of Directors as well. Now it is possible to enter data for both the Beneficial owners, and the Board of Directors.



You can do the same for the information for Companies in the other tab. Go to the "Company" fields in the left menu and just add the fields you need.
In the below example we have added Company number, VAT Number. Country of Incorporation, Email address, Country of Headquarter and Website URL as extra fields.


When you have added all the fields, Save the form. When someone needs to fill out the form details, this person will be able to add both the UBO information as the Board of Directors information as well as you can see in the below example.


When needed, click "Add individual" and add the information for another UBO or Director.

​For the company tab the same. Fill out the requested information for the company.


And fill out the roles information.


This way, you can capture both individual data for multiple roles and for the Company / Entity and have the information of the individual connected to the entity in a simple way.
