This should give you an idea of: Approval policies can include thresholds for auto-approval, role-based permissions, and type-specific policies. For instance, auto-approval thresholds define the amount below which requests are automatically approved unless configured otherwise. Role-based permissions limit approval to specific roles like team leads, while type-specific policies adapt rules for multi-use and single-use cards.
how much you can spend in one transaction without approval.
how much you can spend in one month without approval.
on which payment methods this rule applies.
For example, requests below a set amount, such as £100, might be automatically approved depending on your company's configuration.
Important:
You need the Requester role to be able to have an approval policy. If it's not stated in your roles, contact your Admin. Role-based permissions further determine how approval responsibilities are assigned. For example, team leads or managers may be required to approve certain transactions, while some roles could be excluded from approval processes entirely.
If you are an Account owner, you don't have any approval policy. Everything is automatically validated.
Troubleshooting Card Requests
If an approval policy doesn’t seem to work as expected (e.g., a request below your threshold is not auto-approved), consider these steps:
Verify Policy Configuration: Ensure the policy matches the card type, category, and threshold intended for the request.
Check User Roles and Permissions: Confirm that the requester’s permissions align with the approval policy requirements.
Inspect Multi-Use Card Settings: Ensure the multi-use option is selected if required for the transaction.
Assess Additional Spend Policies: Check for other parameters or security protocols influencing the approval process. For other roles, approval policies may involve thresholds and role-specific requirements to regulate spending effectively.
