Create and manage message templates

Save messages you send often, choose who can use them, and pick a favourite that is filled in for you.

A message template is a saved email or SMS that you can use again: the subject, the text, the sender and any attachments. Club managers and coaches keep their templates on one page, and choose a template when they write a message.

Find your templates

Go to Messaging → Message templates. Club managers find it in the Manager view, coaches in the Coach view.

Templates are grouped into sections, such as General messages and Invoicing. Each row shows the Template name, Category, Channel (email or sms) and Visibility.

  • A lock after the name marks a system template, one that comes with Sportlyzer. You can use it and copy it, but you cannot change or delete it.

  • A heart after the name marks a favourite template.

Create a template

  1. Click New template in the section the template belongs to.

  2. Under Template settings, fill in:

    • Template name: the name you will pick it by. Recipients do not see it.

    • Category: what kind of message it is, for example Invoice or Debt Reminder.

    • Message type: Email or SMS.

    • Visibility: who can use it (see Who can use a template below). A new template starts as Only me.

    • Favourite template: tick it if you want this template filled in for you (see Favourite template below).

  3. For an email, fill in Email subject, Sender name and Reply to email.

  4. Write the Message content.

  5. To add details that change for each recipient, such as their name or the month, click Insert field and pick one. It appears in square brackets, for example [name], and is replaced when the message is sent.

  6. To attach a file to an email, click the paperclip in the toolbar. You can attach up to 10 files, up to 50 MB in total with the text. Attachments need a paid Sportlyzer subscription. They are not available in a trial.

  7. Click Save.

The template appears in its section. Sportlyzer adds today's date to the name of every new template, for example Membership termination notice - 2026-04-20.

Change a template

Click the edit button at the end of the row. Change what you need and click Save.

To remove a template, open it and click Delete.

Make your own version of a system template

System templates, the ones with a lock, cannot be changed. You can save a copy and change that:

  1. Click the edit button at the end of the row.

  2. Change the text or the other settings. The Category stays the same.

  3. The copy is shared with all staff. If it is just for you, set Visibility to Only me.

  4. Click Save as new template. Your copy appears in the list. The system template stays as it was.

Who can use a template

Visibility decides who sees a template:

  • Only me: only you see it and can use it.

  • Club's staff: every club manager and coach at your club sees it, can use it, and can change or delete it. A change reaches everyone.

If you change a Club's staff template to Only me, Sportlyzer saves a personal copy for you. The club's template stays as it was for everyone else.

Favourite template

A favourite template is filled in for you when you start writing that kind of message.

Your club has one favourite for each category and message type. It applies to everyone at the club:

  • If you tick Favourite template on a template, the heart moves to it from the template that had it before, for everyone.

  • If the favourite is a Club's staff template, everyone at the club gets it filled in.

  • If the favourite is an Only me template, only you get it filled in. The others get the newest template they can see, or the system template.

Use a template when you write a message

When you write an email or SMS, the Select template list shows your templates:

  • My templates: the ones only you can see.

  • Club's templates: the ones shared with all staff, and the system templates.

Pick one to fill in the message. You can still change the text before you send it.

At the bottom of the list:

  • Save this draft as a template saves the message you are writing as a new template. It is shared with all staff. To keep it only for yourself, open it on the Message templates page, set Visibility to Only me and click Save. This saves a personal copy. Then open the shared one and click Delete.

  • Manage templates opens the Message templates page in a new tab.
