Family Onboarding — How Parents and Players Join an Organization in SportsGravy

How a family joins a SportsGravy organization: the ways your child can be registered, invited, or rostered, how to activate your parent account, and what to do if your teams or schedules don't appear after you sign in.

This guide is for parents and legal guardians whose child has been registered, invited, or rostered through a SportsGravy organization (club, league, academy, or association), and who are joining SportsGravy for the first time. Platform: SportsGravy mobile app.

How families get brought into SportsGravy

There are a few different ways your family can end up in a SportsGravy organization. The end result is the same — you receive an email invitation to set up your parent account — but the path can differ:

  • CSV import (organization migration). When an organization is moving onto SportsGravy from another platform, they upload their membership as a CSV. This sends every family an organization invite. At this stage, your child may not yet be on a specific team — team rostering can happen later.

  • Direct registration. You go through a SportsGravy registration form for an organization. Depending on how the organization runs registration, your child may be rostered onto a team immediately, or registered first with rostering happening later.

  • Direct rostering. An organization adds your child directly to a team roster. If you weren't already a member of the organization, this creates an organization invite for you at the same time as the team invite.

  • Training program invite. Some families are invited into a specific training program under an organization, either instead of or in addition to a team.

In every case, SportsGravy automatically:

  • Creates a parent account for you

  • Creates your child as a player profile under your account — no separate signup needed for kids

  • Sends you an email invitation to activate your account

  • Links any co-guardians (spouse, etc.) through the Family tab of your Connections section

The easiest way to activate: use the email link

Open the invitation email from SportsGravy and tap the activation link. When you set your password and sign in this way, all of your organization, team, and training program invites are auto-accepted. Your Connections and schedule populate immediately.

This is the recommended path — always activate from the email link if you can find it.

If you signed up without the email link

If you downloaded the app and signed up directly — without the invitation email — your organization, team, and training program invites will be pending instead of auto-accepted, and you won't see your child's schedule until you accept them manually.

To accept pending invites:

  1. Open the SportsGravy mobile app

  2. Tap Notifications in the bottom navigation

  3. Find any pending organization, team, or training program invites

  4. Tap Accept on each one

SportsGravy usually shows a pop-up on sign-in reminding you to check Notifications. Once you accept, your teams, training programs, and calendar will populate within seconds.

Common questions

  • My account is activated but I don't see my child's team or schedule. You most likely activated without using the email invitation link, so your invites are pending. Open Notifications in the mobile app and accept the organization, team, and training program invites.

  • I got an organization invite but my child isn't on a team yet. That's expected if your organization is migrating over from another platform via CSV import, or if you registered before rostering. Go ahead and activate your account — team rostering will come through as a separate invite when it happens.

  • I didn't get the invite email. Check your spam or junk folder. If it isn't there, ask your organization's admin to re-send it.

  • My spouse or co-guardian didn't get an invite. Organizations usually import both parents when they have contact info for both. If one was missed, ask the admin to add and re-send. Once accepted, you'll appear together in the Family tab.

  • I see an "Invite your kid" step during onboarding — do I have to do it? No. Inviting your child to create their own account is always optional. See the Parent and Player Profiles article for when it makes sense.
