How to use the Stock Management feature

Here's a how-to guide on setting stock limits for your menu

Whether you are running out of stock or need to limit online ordering for canteen or uniform items, the Spriggy Schools system has a handy stock management tool to help!

The stock management feature can be found in the "Menu Editor" of your admin account. The purpose of the feature is to prevent parents from ordering a certain item on the Spriggy Schools parent app when stock is limited or running low.

The feature allows you to set two types of limits:

  • Daily limit - set the maximum available quantity of an item that resets each day.

    Use this limit for items that are popular and are in limited supply on a daily basis. For example, if you have a popular macaroni and cheese item that is available on Tuesdays only but your stock is unable to fulfil the demand each Tuesday, set a daily limit by entering your stock quantity.

  • Stock limit - set the maximum available quantity for an item that remains out of stock once the limit is reached.

    Use this limit for items that are running low and will not be replenished for some time. For example, if you have a school bag item that is running low in stock and you are unable to replenish the stock for a couple of weeks, set a remaining stock limit.

Follow the instructions below for adding each type of limit.

Setting a Daily Limit

  1. Log in to your Spriggy Schools admin account.

  2. Click on "Menu Editor" and then click "Stock Management."

  3. Click "Add Stock."

  4. Enter the name of the item as the stock name e.g. "Macaroni & Cheese"

  5. If the circle on the left of "Daily limit" is NOT coloured in pink, click on this circle.

  6. Enter an amount that will be available each day under "Daily quantity" e.g. "20." This amount will be the same each day that the item is available unless it is changed.

  7. Click "Add."

  8. Click the dropdown arrow under the "Add Item" section on the right side of the screen.

  9. Click the category to which the item belongs e.g. Macaroni & Cheese is in "Hot food."

  10. Click the "+" icon in line with the item e.g. Macaroni & Cheese. Do not link multiple items to the same stock. Create separate stocks for separate items.

  11. The item should now appear in the "Items Linked" section on the left side of the screen. This means the item's daily limit has been set and is live on the Spriggy Schools parent app πŸŽ‰

  12. To change the stock name or type, make the desired changes and click "Edit" when finished to save.

  13. To change the daily quantity, enter the new quantity e.g. "15" and click "Edit" to save.

    Keep in mind, parents can order items in advance. If you want to edit the daily limit of an item, be sure to check the "Item List Report" in "Reports" to see how many have already been ordered on each day of the week and take this quantity into account before changing the daily limit.

  14. To remove the daily limit, simply untick the "Is Active" box and click "Edit" to save.

    In the example used above, once 20 Macaroni & Cheese items have been ordered on the given day, then display as "out of stock" on the Spriggy Schools parent app for any other parents that try to order a Macaroni & Cheese on that day. The daily limit will then reset to 20 for the next day that the item is available.

    Setting a Stock Limit

  1. Log in to your Spriggy Schools admin account.

  2. Click on "Menu Editor" and then click "Stock Management."

  3. Click "Add Stock."

  4. Enter the name of the item as the stock name e.g. "School Bag"

  5. If the circle on the left of "Stock limit" is NOT coloured in pink, click on this circle.

  6. Enter the remaining quantity of the item e.g. "50."

  7. Click "Add."

  8. Click the dropdown arrow under the "Add Item" section on the right side of the screen.

  9. Click the category to which the item belongs e.g. "School Bag" is in "Accessories."

  10. Click the "+" icon in line with the item e.g. "School Bag". Do not link multiple items to the same stock. Create separate stocks for separate items.

  11. The item should now appear in the "Items Linked" section on the left side of the screen. This means the item's remaining stock limit has been set and is live on the Spriggy Schools parent app πŸŽ‰

  12. To change the stock name or type, make the desired changes and click "Edit" when finished to save.

  13. To change the remaining quantity, enter the new quantity e.g. "20" and click "Edit" to save.

  14. To remove the stock limit, simply untick the "Is Active" box and click "Edit" to save.

    In the example used above, as School Bag orders come through, the remaining quantity will decrease accordingly on the Stock Management page.

    Once 50 School Bags have been ordered after setting the stock limit, the School Bag item will then display as "out of stock" on the Spriggy Schools parent app for any other parents that try to order a School Bag from then on. The School Bag will remain out of stock until the stock limit is changed or removed.
