How to apply a workflow to a lead or shoot

Workflows allow you to define a step-by-step process once, and then easily apply it repeatedly to a lead or shoot. 

Go to Settings > Automation > Workflows to create your template workflows. You can then choose from these workflows when applying them to a lead or shoot. 

How to add a workflow to a lead

There are three ways to apply a workflow to a lead manually:

  1. Go to the Lead > Overview page, click the "Add" button to the right of the page, and click the "Apply Workflow" button. (This process is the same for leads and shoots)

  2. Go to the Lead > Tasks page and click the "Apply Workflow" button at the top of the page. (This process is the same for leads and shoots)

3. When booking a lead through a booking proposal (before it becomes a shoot), you can apply a shoot workflow once it is booked. Go to the Lead > Booking Proposal page > Proposal Settings > and choose a workflow from the "Workflow" dropdown.

How to add a workflow to a Lead automatically

To apply a workflow to a lead automatically, go to Settings > Automation > Lead Workflows and click the "New Default Workflow" button. Choose which shoot type you'd like to automatically apply a workflow to, then choose which workflow you'd like to apply to that shoot type by default. 

When you choose a default workflow for a shoot type, any new leads you create (through a contact form or by manually adding it) for that shoot type will automatically have that workflow applied to it. 

How to add a workflow to a shoot

There are three ways to apply a workflow to a shoot:

  1. When adding a shoot via the "Add Shoot" modal, you can choose a workflow to apply to that shoot once it's created. Choose a workflow from the "Apply Workflow" dropdown on the last step of the "Add Shoot" modal. 

  2. Go to the Shoot > Overview page, click the "Quick Actions" button at the top of the page, and click the "Apply Workflow" button (Same as the lead explanation earlier)

  3. Go to the Shoot > Tasks page and click the "Apply Workflow" button at the top of the page. (Same as the lead explanation earlier)

If I change my template workflow, will it change all leads and shoots it's been applied to?

Currently, a workflow is a "shortcut" to mass-apply a set of emails, questionnaires, tasks, etc. Updating a template workflow will not dynamically update all the leads and shoots it's been previously applied to.
