How to enable and edit emails which can be automatically sent to your clients in response to certain actions

Sprout Studio can take care of sending some emails automatically to your clients on your behalf. We've called this system the "Sprout Assistant" meant to take care of all email reminders to your clients. These are emails that are in reaction to an action taken by the client (i.e., confirmation or receipt for payment), or a reminder of an upcoming or overdue invoice.

How to enable or disable your assistant emails

Go to Settings > Automation > Assistant and click into each section to see which assistant emails you'd like to edit. Click the "Edit" button next to each item to turn it on or off. We'll go into more detail about this below.

Note: There are some assistant emails that you cannot turn off for actions that are explicitly requested by the customer, such as a request for a download link, or a forgotten password.

How to edit and personalize assistant emails

You can customize each email by clicking the "+" button on each Assistant category and then the pencil to edit.

You can insert any of the available variables (displayed at the bottom of the modal - such as [[payment_amount]] in the case of an invoice reminder) to automatically populate the applicable information for that lead or shoot when sending the email.

You can edit the frequency of the emails in the title of the email. You can choose the number of emails that we'll send out and when by clicking on the time frame in the title, or clicking the + icon next to it.

You can turn on or off the Assistant email by clicking the Settings button in the top right corner of the window. The options you have for the emails are:

  • Live or Paused, which is whether or not the email shows up on the asset.

  • Enable by Default, which is whether or not the email is turned on by default. Setting the email to "Live" doesn't actually turn the email on.

How to add your branding to automatic emails

Automatic emails were to be beautiful, branded emails instead of just plain text. Go to Settings > Branding > Brands > Selected Brand and click the "Edit" button to open the branding modal. Navigate to the "Theme" tab to upload your own "Custom Email Header," which displays at the top of each automatic email sent out from each respective brand.
