Importing Master Deal Expenses

How to Import expenses for Master Deals

  1. Download the Master Deal Expenses Template

    1. The Master Deal Expenses Template can be found in the templates menu of SR1.

    2. Navigate to the templates menu then select Master Deal Expense Import

    3. Select where you would like to save the file and Click Save

  2. Open and Fill Out the Master Deal Expenses Template

    1. Navigate to the Master Deal Expenses file saved earlier

    2. Open the file

    3. The following information belongs in the fields

      1. Deal ID: This is the master deal ID that the expense needs to be tied to. It can be found on the deal.

      2. Alternate Deal ID: Can be found in the Alt ID field on the deal. This field is optional if you have the Deal ID field of the template filled out

      3. Expense Date: The date of the expense charge It must be in DD/MM/YYY Format

      4. Expense type: What variety of expense is it? Some suggestions can be found in the screenshot below

      5. Item Description: Other descriptive information needed for the expense

      6. Vendor: Who/What charged the expense (Optional)

      7. Estimated Cost: An approximate amount of this expense (Optional)

      8. Actual Cost: The amount of the expense

      9. Recoup Rate: What percentage of the expense is the deal recipient(s) responsible for

      10. Payment date: When was this expense paid (Optional)

      11. Payment Amount: What was the amount paid for this expense (Optional)

      12. Payment Ref. No. : Is there an internal reference number for the payment (Optional)

      13. PO Number: Did this expense come from a purchase order? If so what is its identifying number. (Optional)

      14. Invoice Number: Was this expense included on an invoice? If so, what is its identifying number. (Optional)

      15. Invoice Date: Is there a date for the above mentioned invoice? If so Enter it here, it must be in DD/MM/YYY Format (Optional)

      16. Notes: Any other details about this expense. (Optional)

  3. Save and Close the Master Deal Expenses Template

    1. Once the template is filled out, save and close the file.

  4. Import the Master Deal Expenses Template

    1. Initiate Master Deal Expenses Template Import

      1. From The Import Menu

        1. Navigate to the Import Menu

        2. Click Expenses

        3. Click Master Deal Expenses

      2. From Master/Producer Deal Expenses

        1. Click Deals in the Purple Navigation Bar

        2. Click the Expenses tab

        3. Click Import Expenses at the bottom of the screen

      3. The import screen is the same no matter which option you choose

    2. Import data

      1. In the window that pops up click import expenses

      2. Navigate to the file that you previously saved

      3. Click open

      4. All of the expenses in the sheet will be imported into this table

  1. Map and Activate Master Deal Expenses

    1. SR1 will automatically analyze the data and find matches. A green dot will appear next to anything that found a match. You can click activate all at the top of the screen to assign all the matched expenses to their deals to be included in statements and royalty reporting.

    2. For any red dots, you can resolve errors by making changes in this window then use the golden arrows in the upper left corner to match. Then click activate. Repeat until all errors are resolved.
