This article will teach you about the settings you can customize in your settings.

This guide will cover the following topics:


Access Notification Settings

To access notifications in the Web App

  1. Go to "Settings" > Click on "Notifications"


Shift Reminder

Set up a notification to remind staff of their upcoming shift on their smartphones.

This notification can be sent up to 24 hours in advance.

To enable

  1. Check the box under Shift Reminder

  2. Set the duration (in hours)

  3. Save


Clock In notifications

1. Clock In Reminder

This notification reminds staffs to Clock In 10 minutes before their shift starts, and is non-customizable

2. Late Clock In

This notification reminds staffs who haven't already clocked in to clock in.

  1. Check the box

  2. Set the time after the start of shift when the reminder will be sent.

  3. Click Save

3. Staff not clocked in

This notification is sent to managers when staffs who have not clocked in. To enable,

  1. Check the box

  2. Chose whether you want Owners to receive the notifications

    • If yes, select Section Owners and Managers

    • If no, select Section Managers

  3. Set the time after start of shift when the reminder will be sent


Clock Out notifications

1. Clock Out Reminder

This notification reminds staffs to Clock out 10 minutes before their shift ends, and is non-customizable

2. Late Clock Out

This notification reminds staffs who haven't already clocked in to clock in.

  1. Check the box

  2. Set the time after the end of shift when the reminder will be sent.

  3. Click Save

We will provide a recommended timing based on your late clock out allowance settings.


Break Notifications

  1. Start Break Reminder

  2. End Break Reminder

This notification reminds staffs to take their break before their break starts.

  1. Check the box

  2. Set the time before break starts when notifications will be time

  3. Save

2. Break Ending Soon

This notification reminds staffs to end their break before their break end.

  1. Check the box

  2. Set the time before break end when notifications will be time

  3. Save


New Staff Registration

When a new staff member completes their registration, StaffAny can send a push notification to the relevant managers and/or owners so they can take action right away.

Default settings

  • Notification: ON

  • Recipients: All Managers and Owners

To configure

  1. Under New Staff Registration, check or uncheck the box next to "Send a notification when new staff complete registration" to turn the notification on or off.

  2. Use the "Send notifications to" dropdown to choose who receives the notification:

    • All Managers and Owners — all active managers and owners in the organisation receive the notification.

    • Section Owners and Managers — only the owners and managers assigned to the same section(s) as the registered staff receive the notification.

    • Section Managers — only the managers assigned to the same section(s) as the registered staff receive the notification.

  3. Click Save.

Note: Only Owners can change notification settings. If the registered staff is not assigned to any section and Section Owners and Managers or Section Managers is selected, no notification will be sent.


Leave Reminder

When enabled, StaffAny sends email reminders to keep everyone informed of leave activity in your organisation.

Emails are sent for three leave events:

  • Leave submitted — the designated approver(s) receive an email when a staff member submits a leave request.

  • Leave approved — the leave applicant receives an email when their request is approved.

  • Leave rejected — the leave applicant receives an email when their request is rejected.

To enable

  1. Under Leave Reminder, check the box next to "Remind owners and leave applicants via email reminders".

  2. Click Save.

Note: Only Owners can enable or disable this setting. Email reminders are only sent to recipients who have a valid email address on their profile.


Documents Expiry Reminder

When enabled, StaffAny sends email reminders to all active Owners in your organisation when an employee document is approaching or has reached its expiry date.

To enable

  1. Under Documents Expiry Reminder, check the box next to "Remind owners via email reminders".

  2. Click Save.

Note: Only Owners can enable or disable this setting. This section is visible only when the Employee Documents feature is enabled for your organisation. Contact StaffAny support if you do not see it.


FAQ

Q: Who can change notification settings?

A: Only Owners can enable, disable, or modify any notification settings. Managers can view the settings page but cannot make changes.

Q: What types of notifications does StaffAny send?

A: StaffAny sends two types of notifications: push notifications (to the StaffAny mobile app) and email reminders. Shift, clock-in, clock-out, break, and new staff registration notifications are push notifications. Leave reminders and document expiry reminders are sent by email.

Q: What is the default setting for New Staff Registration notifications?

A: The notification is ON by default and recipients are set to All Managers and Owners. All existing organisations are migrated to this default automatically.

Q: Who can change the New Staff Registration recipient?

A: Only Owners can change the recipient setting. The three options are All Managers and Owners, Section Owners and Managers, and Section Managers.

Q: What happens if a new staff member is not assigned to any section and the recipient is set to Section Owners and Managers or Section Managers?

A: No notification will be sent. To ensure notifications are always delivered, use All Managers and Owners.

Q: Is the New Staff Registration notification sent immediately after registration?

A: Yes. The push notification is triggered as soon as the new staff member completes registration on the StaffAny app.

Q: Which events trigger a Leave Reminder email?

A: Three events trigger emails: (1) when a leave request is submitted — the approver(s) are notified; (2) when a leave request is approved — the applicant is notified; (3) when a leave request is rejected — the applicant is notified.

Q: Why did a staff member not receive a Leave Reminder email?

A: Check that: (1) the Leave Reminder setting is enabled in Settings > Notifications; and (2) the recipient has a valid email address saved on their profile. Emails are skipped if the address is missing or invalid.

Q: Who receives Document Expiry Reminder emails?

A: All active Owners of the organisation receive the reminder email when an employee document is approaching or has reached its expiry date.

Q: I don't see the Documents Expiry Reminder section. Why?

A: This section is only visible when the Employee Documents feature is enabled for your organisation. Contact StaffAny support to enable it.
