Importing and inviting guests

Inviting or sending tickets to larger groups of guests

Inviting large groups of guests in one go is done via Import Guests. In addition to putting guests on the guest list one by one or sharing an external guest list, you can also import guests via a spreadsheet. 

Then choose one of the two follow-up actions:

  • Add to guest list

  • Send mail

How do you import a guest list?

Via Tickets - Guests, you find an overview of the guests of an event. 

  1. Select the event you want to import the guest list for. 

  2. Click ‘Add new’ en choose for the option ‘Import guests (by csv)’. Download the sample CSV and use it as a template. Enter at least a first name and a ticket quantity. If you want to e-mail, an e-mail address is also required.

  3. Once you have chosen a file, Stager provides an example of the data to be imported. Does it look good? Import using the ‘Finish’ button.

You return to the overview page for imported guest lists. The list you have just imported is listed here. Now you can choose what you want to do with the guests. 

NOTE: Stager only imports .CSV files. These look a lot like Excel files but are different in the sense that the columns are predefined. If you fully reuse the first line of the sample file, your import will work smoothly. Do not change the columns and only enter the data in the right place.

Add to guest list

Add your guests to the guest list. You need at least a first name for this. Guests with an e-mail are also added to Contacts.

Select a ticket type and provide a description. Next, the names of the visitors are put on the guest list with the specified ticket type and the entered quantity.

Send tickets

Choose this if you want to email the guests the tickets. You will be forwarded to the mail composer. Choose the template you want to use. The 'Guest tickets' component has already been added to your mail and all recipients of the list have been added to the 'Send to' field. It is not possible to adjust this.

Choose whether you want to email an 'Invitation link' or 'Direct ticket link'. The invitation must still be accepted by the recipients before they actually receive a ticket. Tickets that are not accepted are released at a time that you set so that you can still sell them, for example. The recipient can directly download the tickets via the 'Direct ticket link'.

Create more guest tickets

For all of the above options, you first select the ticket type before you can perform the next step. It may be that your important list contains more tickets than are actually available for the event. If this is the case, make more tickets available via Configure Tickets.

Created extra tickets or made them available to guests? Click Reload Tickets to reload so that you can see the new quantities.
