Understanding Student View Permissions in Stellic

This article is dedicated to understanding the different levels of permissions that exist within Stellic for viewing student information and profiles.

No student view permission

This is the default permission assigned to admin users in Stellic. This means that when a user logs into Stellic, their standard landing page will be to view programs (and audits associated). Note in the sidebar that the first option is Programs - users with any of the below permissions would see the Students option above it. If enabled, a user with no individual student view permission would be able to see aggregate data in Analytics. One important note is that Analytics can be viewed for "My Students", meaning any students the user has permission to see, or "All Students" - unless "All Students" is enabled by the institution, Analytics would be largely unhelpful for a user with no student view permission. Please ask your Stellic representative if you need additional help with the options that your institution has enabled.

Student profile-view permission

A permission of "profile-view" will enable a user to see only the student's profile with very basic information - the student's username, email, entry year, and campus affiliation. Additional identifying information like the student's declared programs or registered courses are not included. The only additional item that this user can see are notes - the user can see any notes on the student that have a visibility that includes them, and can also make notes on the student.

Student plan-view permission

The "plan-view" permission will show the student's profile without any GPA or grade information. It does include information such as the student's declared programs, advisors, interests, and registered courses for the current term. Compare this section to the full view below and you can see that there are fewer options to choose from - only the planner and notes are visible. No grade information is visible in the planner.

Full view permission

The standard "view" permission shows all aspects of the student's progress, including their GPA, audit (progress), and courses with grades. If the student is enrolled within any Requests in a Workflow, those will also be visible to anyone with the view permission.
