Stockagile lets you add three types of location: warehouses, stores and external stores. This gives you visibility of the stock in each business unit, and lets you review sales and transfer stock from one location to another.
An external store is a store run by a third party that holds your stock, such as a franchise, a corner or a multi-brand store. Its stock counts in your inventory, but it has no cash registers.
Requirements to register a store or warehouse
The user must have the OWNER role. You can see the different roles in Create or edit a user.
External stores depend on your plan: they have their own limit, separate from the store limit and the warehouse limit.
It is important that you have already configured the different Product pricing tiers if you sell through different sales channels (retail, outlet, wholesale or ecommerce).
Steps to create a store or warehouse
Go to the LOCATIONS section from the side menu, under INVENTORY.
At the top right, click the NEW LOCATION button.
In the pop-up, open Location type and select “Warehouse”, “Store” or “External store”.
Fill in the rest of the pop-up. Fields marked with * are required and are the same for the three location types:
Code*: Code of the location (optional).
Name*: Name of the warehouse or store.
Pricing Tier*: Pricing tier linked to the location, previously configured when creating and editing price rates.
Phone number: Phone number of the store, it will appear on the tickets.
Address 1*: Address of the store, it will appear on the tickets.
City*: City of the store, it will appear on the tickets.
Zip code*: Zip code of the store, it will appear on the tickets.
Country: Country of the store, it will appear on the tickets.
Check the notice at the bottom of the pop-up. If the new location has an extra cost, you will see the notice “This is a paid feature” with the amount that will be added to your subscription. If your plan does not include the selected type, you will see the notice “This location type is not included in your plan”: click MORE INFO to see how to upgrade your plan.
Click the CREATE button. After a few seconds you will see a confirmation message that the location has been created.
You can see the location information by clicking on it, in the list on the right next to the map.
Step 4: pop-up window to fill in the data
Step 7: information inside the location
Steps to edit an already created store or warehouse
Go to the LOCATIONS section from the side menu, under INVENTORY.
To the right of the map, you will see the list of all your stores, external stores, warehouses, showrooms,...
Click the location you want to edit.
Once inside, you can view and edit the details of the main information:
Code*: Location code, used on screens where there is little space to display the name.
Name*: Name of the warehouse or store.
Is the main location: Select it to make it the default location.
Address 1*: Main address.
Address 2: Second address, if any.
City*: City where the store or warehouse is located.
Zip code*: Zip code of the city.
Country: Country where it is located.
Phone number: Phone number of the warehouse or store.
Position: Place it occupies in your list of locations.
Total area (m²): Surface area of the location in m².
Total volume (m³): Volume of the location in m³. This field is used for the capacity calculations of that location.
If the location is a store, the sections “Store settings” and “Planning settings” appear at the bottom of the page. External stores and warehouses do not show these sections.
Pricing Tier:* Select the pricing tier that the store should have.
Tickets Template:* Select the ticket configuration that the store should have. The ticket configuration sets the style, logo, texts and information that will appear on the ticket each time a customer makes a purchase.
Replenishment Order Frequency (days)
Replenishment Lead Time (days)
Replenishment warehouse
Percentage Growth (%): Based on the store's growth estimate, it is used to adjust replenishments on the next order.
The sections “Invoicing settings” and “Picking and Packing settings” appear for every location type:
Legal entity name or franchise: Select the legal information of the company that we want to appear on the ticket. In most cases you will not need to change it; it is useful if we have tax IDs other than the company's.
Invoice serial number: If we want the different types of invoices generated from this location not to follow the same serial number defined at company level, we can select here the serial number to use. This is useful for stores that have selected a tax address other than the company's (previous point), as it lets you work with several independent invoice sequences.
Create summary cash closing invoices: When you check this option, a summary invoice is generated automatically when you close the cash register.
Contact for summary cash closing invoices: If you need it.
Contact person: For the picking and packing settings.
Click the SAVE button when you have made your changes.
Step 1: list of locations
Steps to delete a location
⚠️ Note: Before deleting a location, we recommend transferring the remaining stock first. Once the location is deleted, its stock is set to 0 and the action cannot be undone.
Go to the LOCATIONS section from the side menu, under INVENTORY.
On the main screen, a list of the locations already created will appear; click the location you want to delete.
Once inside, click the ACTIONS button at the top right and choose DELETE.
A verification message will appear to delete the location.
To delete it, click the “Delete location” button and it will be deleted automatically.
Step 3: ACTIONS menu with the DELETE option.
Locations and registration form
Lastly, you will see three more tabs apart from Details: Registers, Locations and Registration form. The Registers tab only appears for stores: if you try to open it for an external store, the panel takes you to Details. To learn more about cash registers, go to Create and configure a cash register.
The locations section refers to all the locations you have assigned to the products in their Locations window. You can also edit them or add a location to the products that do not have one yet.
Finally, the Registration form section configures your customer loyalty: it lets you generate a specific link so that customers can register easily. In the article Customer registration form you will find how to set it up.
Keep in mind:
The location type is chosen when you create the location and cannot be changed afterwards.
If no limit of your plan allows you to create more locations, the NEW LOCATION button takes you to the screen to upgrade your plan.
External stores have no cash registers.
External stores do not appear in the source and target warehouse filters of PICKING AND PACKING.
External stores do not appear in the “Source warehouse” selector of the B2B ecommerce.
