How to make a picking order

"Picking" is a crucial logistical process in inventory management that involves selecting and collecting specific products from a warehouse to fulfill an order. This procedure is essential in the supply chain and e-commerce order fulfillment, ensuring the efficient preparation of requested products, thereby contributing to the swift delivery of orders to customers.

In Stockagile, you can manage various types of orders, including wholesale orders, in-store sales, transfers, and e-commerce orders. These orders need to be created and managed by location.

Requirements for Creating a Picking Order

  • The user must have the role of OWNER, STORE MANAGER, or WHOLESALE MANAGER. You can view the different role types in the Create or edit a user section.

Steps to Create a Picking Order

  1. Go to the left sidebar under the INVENTORY section and click on Picking and packing

  2. A window will appear with the following tabs:

    • To prepare: These are new orders arriving and pending preparation.

    • Picking: Here you will find the created and pending picking orders:

      • Pending picking: Created but not started.

      • In progress: Created and started.

    • Picked: Orders that have been picked and are ready for packing.

    • Packing: Orders that are being packed.

      • Pending packing: Created but not started.

      • In progress: Created and started.

    • Packed: Orders that have finished packing.

    • Shipped: Orders that have been shipped and completed.

  3. In the To Prepare tab, you will see a list with the following information:

    • Order: Order reference.

    • Delivery Note: Order delivery note, as an order may be divided into two or more delivery references.

    • Created On: When the order was created, this will be the column that governs the order sorting.

    • Units: Product units of the variants that make up the order.

    • Origin: Location to which the order has been assigned.

    • Destination: Where the order is going.

    • Order Type: Channel/Medium through which the order was created.

  4. To create a picking order, you must select orders from the same location. You can:

    • Filter by location with the filter found at the top left.

    • Manually select them with the checkbox.

  5. Once selected, click the "+ New Picking Order" button activated at the top right of the table.

  6. A new window will open where you will see:

    • Details: of the picking order. "Assigned to" can be used to assign a person to that picking order; otherwise, it will automatically be assigned to the person who starts scanning the products.

    • Product List: product variants will appear per row, along with the actions you can take within this.

      • Actions:

        • Bulk Edit: if you select all products at once, you can mark them as picked or pending to be picked.

        • Print Delivery Notes: you can print the delivery notes for the orders, to prepare them for each order and for the person who will do the packing.

        • Generate Picking List: a list of the warehouse route that the worker must follow to pick up all the orders. This can be sorted as needed by clicking on the three dots of each column in the product variants table.

      • ⚠️ Note: we recommend ordering the picking list by the location assigned to the product. If you do not have a location assigned to the product variant, you can order it by brand, category, subcategory, period, or collection.

      • ⚠️ Note: If there is a batch product, you can select or scan its data matrix from this window to register it.

      • ⚠️ Note: If you have a cart that allows you to separate orders, the checkout will be where you should place the product variant.

  7. To pick up the picking order, you can:

    • Scan the products.

    • Click on the status and automatically change it to "Picked".

    • Select the products and edit them in bulk to mark them as "Picked".

  8. Once you're finished, click the "Mark as Picked" button. You have several options:

    • Mark as Picked: Move to the Picked tab

    • Mark as Packed: Move directly to the Packed tab

    • Mark as Shipped: Move all orders directly to Shipped

  9. If you have collected fewer units than estimated, a pop-up window will open warning you that there are still units to collect.

  10. Once the picking order is complete, you will be automatically redirected to the "Picked" list.
