Outlook Email Integration

How to connect your Outlook mailbox so emails sync into Street.

Written by Hannah Sullivan

Outlook Email Integration is currently only available for Street Labs agents.

What is the Outlook Email Integration?

The Outlook Email Integration connects your Microsoft 365 mailbox to Street. Once it's connected, relevant emails you send and receive in Outlook sync automatically to the right contacts and properties in Street, so you don't have to log them yourself.

Note - The integration is set up for each user individually. Each user who wants their emails to sync needs to connect their own Outlook account.

What do I need before I connect?

  • A Microsoft 365 work or school account with a licence. Personal Outlook.com or Hotmail accounts can't be connected, and nor can mailboxes hosted on your own Exchange server.

  • The "Configure email integration" permission. If you can't see Outlook in your integrations, ask a Street admin at your agency to check your role permissions.

How do I set up the integration?

Go to Settings (the cog icon in the top right corner of your screen) > My Settings > Integrations, then click Outlook.

Select the Configuration tab and click Connect. A window explains what the integration does. Click Connect with Microsoft to continue.

Microsoft will ask you to choose which account to connect and to approve Street's access to it. Accept every permission Microsoft asks for. If any permission is left unticked, Street can't complete the connection and will ask you to try again.

Once you're connected, you'll go back to Street. The Configuration tab will show "You are connected as" followed by your Outlook email address.

Note - Some Microsoft 365 organisations need an IT administrator to approve Street before anyone can connect. If Microsoft shows a "Need admin approval" message, or the connection is declined, ask your IT administrator to approve Street, then try connecting again.

Which emails sync to Street?

Street syncs emails from your Outlook Inbox and Sent Items. An email syncs if either of these is true:

  • It's from or to a known contact. If the email address matches a person already saved in Street, it will show on their person page.

  • The first line of address and outcode. The property's address, including its postcode, must be in the email subject line. The email is then added to that property's activity feed.

Replies in the same email conversation follow the original email, so a whole conversation stays together in Street.

If an email matches a property but the person isn't in Street yet, Street creates them as a new contact.

Note - Emails that don't match a contact or a property aren't saved in Street.

Which emails don't sync?

  • Automated emails, such as no-reply messages, newsletters and out-of-office replies.

  • Emails sent only between people in your agency.

  • Notification emails sent by Street.

  • Emails to or from anyone on your exclusions list (see below).

  • Emails in folders other than Inbox and Sent Items.

Keeping certain contacts' emails private

To stop a contact's emails syncing, open the Exclusions tab on the Outlook integration page and click Add exclusion. Any email sent to or from an excluded contact is kept out of Street completely.

To remove someone from the list, open the menu next to their name and click Stop excluding.

Note - The exclusions list is shared across your whole agency. Changing it changes it for everyone, whether they use Outlook or Gmail. Emails that weren't synced while someone was excluded won't be added to Street afterwards.

What if my connection stops working?

If your connection expires or is revoked, for example because your Microsoft password changed or Street's access was removed in your Microsoft account, you'll get an email and a Street notification titled "Your Outlook connection needs re-authorising". The Configuration tab will show a Reconnect required message. Click Connect and sign in to Microsoft again to restart syncing.

Disconnecting Outlook from Street

Go to Settings > My Settings > Integrations > Outlook > Configuration and click Disconnect Outlook. Street stops syncing new emails. Emails already saved against contacts and properties stay in Street.
