What is Auto Allocation?

A guide on how the auto allocation feature for tenancy charges work

Auto Allocating Charges

The Allocation Settings page gives you control over how Street automatically allocates funds on tenancy and owner ledgers. The Tenancy tab lets you configure whether charges on tenancy ledgers should be automatically allocated to, and in what priority order. The Owner tab gives you control over how owner allocations are suggested and processed.

To access these settings, head to Settings > Accounting > Allocation.

Note - To access the Accounting settings you will need to have the Company Admin role and have the permission 'Allow this user to manage client accounting' enabled.

Tenancy Charges

Auto-Allocation

The first setting is whether you want Street to automatically allocate incoming funds to charges on tenancy ledgers.

If left disabled, money receipted via the receipt and reconcile stage will not allocate to any charges and all charges must be manually allocated to. There will be no other settings to set up here if this is disabled.

If toggled on, auto-allocation runs automatically each time a receipt is reconciled. Street will check for any outstanding charges on the tenancy ledger and allocate any unallocated funds to them, prioritised by the order you configure below.

Additionally, at 4am each morning the system will check for any charges on the the tenancy ledger and allocate any unallocated funds to those charges prioritised by the charge type which can be manually set.

Note - Any receipted funds marked as Do Not Auto-Allocate during the reconciliation process will be excluded from auto-allocation, even if the setting is enabled.

Auto-Allocation Priorities

When auto-allocation is enabled, an additional section appears where you can configure how Street decides which charges to allocate to first.

The first choice is your allocation method.

  • Allocate based on the oldest due date - Street will allocate to whichever charge has the oldest due date first, regardless of charge type. If two charges share the same due date, the priority order you set below will be used as a tiebreaker.

  • Allocate based on specific charges - Street ignores due dates entirely and allocates purely based on charge type priority.

Charge Type Priority

Below the allocation method, you'll see a list of the five charge types that can appear on a tenancy ledger: Agent Invoices, Contractor Invoices, Deposit Charges, Rent Charges, Owner Invoices.

You can drag and drop these into the order you want Street to prioritise. For example, if deposit charges should always be allocated to before rent, drag Deposit Charges to the top of the list.

Allocate to Upcoming Charges

The final tenancy setting controls whether upcoming charges should be allocated to as soon as a receipt is reconciled. If toggled on, Street will also allocate unallocated funds to any charges due within the next 7 days at the point of reconciliation. Charges outside of this window will need to be generated before they can be allocated to.

Note - This setting can be overridden on a per-transaction basis during the reconciliation process.

Additionally if toggled on, at 4am the system will also allocate any unallocated funds on a tenancy ledger to any upcoming charges that are due in the next 7 days and have generated.

Owner Charges

Allocate to Future Charges

When enabled, charges with future due dates will be pre-selected during the Allocate Funds stage, saving you from having to tick them manually. When disabled, future charges are left unchecked and must be selected by hand before allocating.

Allow Part Payments on Invoices

Similarly, when enabled, charges will be pre-selected during the Allocate Funds stage even when the available funds don't fully cover them, allowing a partial payment to be made. When disabled, an invoice will only be pre-selected when there are sufficient funds to pay it in full.
