Adding an intake to a qualification and setting application dates

This feature allows for the creation of an entry point, into a qualification for a potential student, as well as a way to link application history and current curriculum to current students

To Navigate to the qualification, select Qualifications > Qualifications on the main menu

**Tip** search for the qualification by selecting the search box input, type in the name of the qualification, then select Configure

**Tip** if you have done the Quick Setup in the previous article related to adding a learning program/qualification, you should already have an active Curriculum

If not, first add a Curriculum, select article link below for guidance

Adding an Intake

  • In the qualification view, select Campus (to make sure the qualification is added to a campus) 

  • Then select Application Setup

  • Then select Intakes

  • On the appropriate campus, select Add

  • On the Add intake modal, first type in the Name of the intake in the Name input box
    **Tip** if you are using the name for online applications, use names like 2019 or July 2019 for a short course, or if there is a group students or applicants from a certain company, make the intake something like 2019 Joe Bloggs Engineering, This will make pulling reports easier later, but be careful of the name if this will be for online applications as the applicant needs to know which one to select 

  • For the Curriculum, select the appropriate curriculum, to link the intake to, using the drop down list, at least one curriculum should exist

  • For the Module Exemption Rule, use the default, this can be changed later

  • Select the calendar icon for Application Start & End Dates* and set the desired dates
    **Tip**
    Once selected, the calendar panel on the left represents the Start Date and the right panel represents the end date. This will also determine access to online applications as the End Date will determine the date applications will close and Start Date the date applications open.

  • To capture the Enrolment Date, i.e. the date that they student/learner will start in program i.e. first day on tuition or learning, select the input and either type in the year in YYYY/MM/DD or use the quick selection tool

  • Once you have completed all the required selection, select Save
    **Tip**
    If there is and error where intake dates overlap, select the calendar icon to correct the dates and then select Save

  • Your new intake should now be listed
