An Overview of the Calendar Features to Manage events

First thing you need to know about the calendar is that when you view a Calendar you review it in the context in which you are logged in. So, this means if no events were created with you linked to them then you won't have any events on your calendar.

The second thing is that there are various categories of calendar events they are public events, private events, and tuition related events. Public events are events that everybody can see in the institution. Private events are events that only individuals link to the event can see. Tuition events are events that have a trainer and a group or class of learners.

As always, make sure you have the access rights.

Navigation

Start by navigating to Calendar from the Main Menu

Viewing 

  • The Calendar will automatically default to you as the lecturer or logged in user, this can be changed by selecting "View for someone else

  • You can view your calendar in a number of different ways, e.g. Month, Week, Day or List

Printing

  • Using the printer button - you can print your calendar

Creating Events

To create events, click on Manage Calendar Events

Top or first section

The first section displays the date of events to show, you can change this by selecting Change and setting a new date range

The Left section

The left section displays the current day with all scheduled events, the Venues or Rooms and the times.  You can manoeuvre left or right to display different hours.

The display day can be changed by either:

  • Select the Calendar icon and selecting another date or 

  • Using the left and right arrows for a quick back and forward in date

You can also display the Calendar view by Day, Week and Month

Tip! A quick way to view all scheduled events for one module is to click on any of the scheduled events for that specific module, a display will open on the right listing the Name of the Module and all scheduled Events underneath

The Right section

On the right of your screen is where the magic happens.  Here you can create and edit Tuition, Private and Public events.

To create a new event:

  • click on Add Event 

  • Module:  Select the Module for whom you want to create the event for  

  • Groups:  Select the Module Group under the previously chosen Module 

  • Venue:  Select the desired Venue of where the event needs to take place.  (Remember each venue has X number of seats ((setup in Settings > Venue > Edit Capacity)), so if your group has more students than what your venue have seats, you will receive a clash error)  

  • Lecturers:  Select the lecturer/s you want to add to the event(s)  

  • Start and End Times:  Set the start and end time of your event and choose a colour of your choice.  (Tip! The colours will make it easy to spot the different Modules)

  • Days:  If you want your event to repeat, select which days the repeat should occur.  (Remember, if your event occurs over multiple weeks, set the last week's end date using the calendar icon) 

  • Title:  This is optional but if you do add a title and you have created multiple events, you can use the "copy first title to all" button to copy the events title to all events.

Tip! Another way to start the event creation is to click on the specific time and venue block inside the calendar view.  The block you click on will automatically display the hour and venue in the Create Event section

When you are happy with your above selections, you can commit the creation of your events by clicking on Create Events 



A fun feature!

You can drag and drop events within a current day to alternative venues.  

The last section is checking for Conflicts 

  • Select the Module from the drop down list and select Show Conflicts

  • This will show you all conflicts each event has within the given Module
