How to search for students and add them in report wizards

Background

When searching for student in a Report Wizard, which allow you to add individual or multiple students, there are few methods of searching for students to add.
You can search by User Detail, by the Group which they are in, by the students in an Intake or by the Tag which you have placed against the student.

This makes it easier to include a range of students in the selection.

In our example, below, we will be using the report "Student Module Repeats By Year".

How to find Reports

On the Main Menu select the Reports option

Using the user search console

After selecting "Student Module Repeats By Year" on the reports page, you will be present with the landing page for the report wizard

The students tab, i.e. step 1 of the wizard, will display, allowing you to select "Search"

The next screen which will load is the "Select User Modal"

The Four Sections which can be used for searching appear as four horizontal tabs with labels.

We will now describe how to use each tab below, in the context of adding student to the reports wizard.

Selection by Details

In the search controller you can search by First Name, Last Name or Email Address, type this into the input area and select search to view your results

Searching by First Name or Last Name

(N.B. a minimum of three characters is advised to get desirable results)

Searching by Email Address

(N.B. the full email address can be use or just the domain)

On the right-hand side of the Modal you will see the option to "Add all" or to "Add".
Add will add a single student.
Add All will add everyone displayed.

Selection by Groups

With this option everything is based on the filters being configured appropriately and then selecting "Search"

So let's look at the filters.

In the default format the system will display all the groups, on all campuses, for all modules in the current year.

**Tip**
Using this approach is helpful in instances when you are unsure of all of the students who need to be reported on, but you are aware that they are in the same groups within a module.
An application of this is if you wanted to look at the data for all third year/third level students, select a module which you know is a compulsory third year course and add those students to the report.

If we want to add a set of students, on a specific campus, in a specific module, we can now select a specific campus, module and year to get a a more custom set of student data.
For this example, we selected a single group by clicking inside the "Filter by groups..." area and selecting the desired group

We are now able to add all the students in the group by selecting "Add All" or a specific student, by selecting "Add".

Selection by Intakes

As a reminder, Intakes in Student Manager refer to a grouping of students who started at the same time or during a similar period for a learning programme or qualification. e.g. the 2018 Intake students for the Diploma

So using Intakes for searching, will bring back a list of students who "started together", in that intake grouping.

**Tip**
This could be helpful when you generating a report based on student who started in a given year in a qualification.

Again, the default filter configuration will return all data for the current year.

So select a campus, qualification and "start year" for the students you would like to add, and then select the desired Intake in the "Filter by intakes..." input area. Then select search.

So we can now add all the students with "Add All" or a single student with "Add".

Selection by Tags

**N.B.**
If you have created a tag in the More > Tags section of the system and then on the User Profiles dashboard added a tag to the student, you can then also search using the tags applied to student.

On the Tags tab, select the "Filter by tags..." input area and select the desired tag, then select search and any student associated with this tag will display and can be added.

**Tip**
Creating tags for special circumstances can help with building reports, for example if you create a "2019RPL" tag for all the students who were given Recognition Of Prior Learning in 2019 and you needed to pull a report of their performance in the programme. You would now be able to easily select those students using the tags option when building reports.

In our example below, we used were tagged as having paid their fees, to search

So we can now add all the students with "Add All" or a single student with "Add".
