Uploading Multiple Projects at Once

Bulk project uploads are completed by the SubBase Customer Success team using your prepared spreadsheet.

Learn how to prepare your Project Groups and spreadsheet so SubBase Support can quickly upload multiple projects for you.


Overview

SubBase supports bulk project uploads, but to prevent data issues or unintended errors, working with the SubBase Customer Success team is highly encouraged.

While it is possible to upload multiple projects at once, involving Support helps ensure your data is structured correctly and does not create inconsistencies across projects, groups, or addresses.

To avoid delays, there are a few required setup steps you must complete before contacting Support. If any required information is missing, the upload cannot be completed.


Who Can Do This

This article applies to users who can access Company Settings and manage Project Groups.


Before You Start

Before requesting a bulk upload, make sure:

  • All required Project Groups already exist in SubBase

  • Your spreadsheet includes every required field

  • Each project is assigned to the correct Project Group

  • All address fields reflect the delivery address for the project


Steps to Upload Multiple Projects

Step 1: Create Project Groups First

All Project Groups must already exist before a bulk upload can be completed.

Projects cannot be uploaded into groups that do not exist.

To create Project Groups

  1. Open the User Profile Menu

  2. Click Company Settings

  3. Select Groups

  4. Create all required Project Groups

Important:
If a Project Group is missing, projects assigned to that group cannot be uploaded.


Step 2: Prepare Your Project Spreadsheet

Each row in your spreadsheet should represent one project.

Every project must already be associated with the correct Project Group that exists in SubBase so it can map correctly during import.

Required columns for each project

Your spreadsheet must include the following columns:

  • Project Name

  • Project Groups

Additional recommended columns

The additional columns below help with account organization and long-term project management. Adding these now means they will not need to be added individually later in each project’s settings:

  • Project ID

  • Default Watchers

  • Address Nickname

  • Address Line 1

  • Address Line 2 (if applicable)

  • City

  • State

  • Zip Code

All address fields should represent the delivery address for the project.

Important:
If any required fields are missing or incomplete, the upload will be delayed or rejected.


Step 3: Submitting the Bulk Upload Request

Once your Project Groups are created and your spreadsheet is complete:

  1. Contact SubBase Support using the in-app chat, or

  2. Reach out directly to your account representative

The Support team will review your file and complete the upload.

If all information is provided correctly, bulk project uploads are straightforward and handled quickly by the Customer Success team.


Troubleshooting

My projects were not uploaded

This usually happens when:

  • A Project Group does not exist

  • Required spreadsheet fields are missing

  • Address information is incomplete

I do not see the Groups setting

Only users who can access Company Settings and manage Project Groups.
