Task templates help streamline project workflows by predefining repeatable actions tied to specific stages in a solar installation. Once created, these templates ensure that the right tasks are automatically assigned to the right team members at the right time. Follow the steps below to add a task template that fits your process.
Step 1: Go to “Manage Database” and click “Database”.
Step 2: Navigate to the “Installation” section and select “Solar System -> Task Templates”.
Step 3: Click the “+ Add” button to add a new task template.
Step 4: Add the “Subject” and select “Assign To”.
Note: The fields that appear after selecting the “Assign To” option will change based on your selection. Please proceed accordingly.
Step 5: Select the “Stage”.
Step 6: Select the “Duration Type” and “Duration Value”, then set the “Priority”.
Step 7: Click “+ Add” once the required fields are selected.
Step 8: Your task template is created now.
Note: Tasks enlisted in each stage will only be visible when the corresponding stage is triggered during a project.
For Example: If you create a task called “File Upload” under the Site Survey stage, it will only appear when the project reaches the Site Survey phase. Similarly, a task like “Review Designs” assigned under the Design stage won’t be visible until the project enters that stage.
How to Set Conditions for Auto-Assigning Task Templates
You can now set conditions for a task template to auto-assign based on specific project fields. When these conditions are met, the task will automatically appear in the project’s task list and will be assigned to the designated user or role defined in the template. This feature allows you to filter and create tasks on a conditional basis, for example, by system size, state, or other project parameters. Tasks will only be created for projects that meet the defined criteria, ensuring a more dynamic and customized workflow. Follow the steps below.
Step 1: While adding a new task template, select “Auto-Add.”
Step 2: A new field or dropdown labeled “Project Fields” will appear.
Step 3: From the Project Fields dropdown, select the specific project fields you want to use as filters for task creation.
Step 4: Depending on your selected filters or conditions, enter the necessary information. For instance, you can set a condition such as: System Size = 5, or State = Alaska. In this example, the new task template will appear only for projects where these conditions are met.
If your workflow requires additional documentation for projects in certain states or of specific system sizes, you can configure conditional task templates to automatically assign those tasks only to the relevant projects. This smart automation minimizes manual setup, improves efficiency, and ensures that your team members only see the tasks that apply to their specific projects.
