What is an Action Plan Assignment?

You can create an individual action plan or a templated action plan and assign these action plans to your team or clients. This is useful for project management or onboarding. There are various ways you can Assign an Action Plan.

  • Directly Assign an Action Plan

  • Add Client Users to an Action Plan

  • Assign an Action Plan via a Link

  • Assign an Action Plan Template to one user or many users

  • Assign an Action Plan Template via a Package (most common)

  • Assign an Action Plan Template via a base within a Package (rare case)

How to directly assign an action plan:

You will only use this for assigning a single action plan, not a template.

  1. Click into the Action Plan that you want.

  2. On the top right, click "Assigned".

  3. You will see current users, their role, and their permission levels, if any.

  4. Type the email address of who you want to add.

    • The system will auto populate it if they're on your team.

    • This will also include any client accounts.

  5. If they aren't in your account, see instructions below for generating a link.

When an Action Plan has been assigned to a user, it will appear at the top of your action plans + tasks page and they will receive a notification that they've been assigned the plan.

How to assign an action plan via a link:

  1. Click into the Action Plan that you want.

  2. On the top right, click "Assigned".

  3. Type the email address of who you want to add.

  4. Once you type in the full email address, you'll see an option to "Create Invite For:".

    • Choosing this will generate a link that you can copy/paste and send to them.

    • The link will not automatically be emailed to them. You must send it yourself.

    • The user will be required to have a Supered account (requiring a separate invite if on your team) and then can accept the invite via this link.

How to assign an Action Plan Template to users:

Action plan templates are the best way to distribute a repeatable set of tasks to many individuals or companies. For 98% of use cases, we recommend that you use a template.

  1. Go to the action plan template that you want to manage within Supered

  2. Click "Plans" in the top right

  3. Click "Create Plan" in the top right

  4. Select the users you want to assign to (see above for info on how this works across client accounts)

  5. When you assign a template to a user, a new Action Plan instance will be created for them. It is identical to the template. Fields like "due date" will be filled out based on the corresponding template properties.

⚡️Supered Insights:

  1. If you assign an Action Plan Template to a single user, all tasks will be assigned to that user. Otherwise, the tasks are not assigned.

  2. If a template is updated after assignment, the instances underneath it are not updated.

How to assign an Action Plan Template via a Package:

This is the most likely case when assigning an action plan within a Package. There are 2 ways to assign an Action Plan Template when you're creating your package: via a Base (see instructions in next section) or via the Package itself. The instructions provided in this section will show how to assign an action plan template via the package itself, which will keep the action plan housed within your partner account and allow you to track progress and analytics for that action plan.

  1. Go to the "Packages" Home Screen.

  2. Click "Create Package" on the top right corner.

  3. Fill in your "Package Details" with a Name, Short Description, and Full Description.

  4. Click "Build Package"

  5. Click "Action Plan Instance"

  6. Once assigned, you will be able to track these action plans from your partner account - you do not need to access the client account to track progress.

    • Note: This will NOT create an action plan template in your client's account.

  7. You can assign multiple action plans into the package.

  8. Click "Save"

  9. When installed, the user will be prompted to install and activate the action plan.

How to assign an Action Plan Template via a Base within a Package:

The first question you need to ask is:

  1. SHOULD you assign an action plan template via a base within a package? Technically you can do this; however, 99% of the time, you do not want to. Why? If you assign the action plan via a base within a package, you will not receive centralized analytics for that action plan. Instead, you should assign the action plan using the "Action Plan Instance" option when creating your package so you can see client progress for everyone in one place.

  2. WHEN does it make sense to assign an action plan template via a package then? Great question! If the action plan template belongs directly to the client process, such as an onboarding process, then it will make sense for you to assign that action plan template. You may assign 1 or more action plan templates into a package and once installed, teh user will be prompted to install and activate the action plan.

    • Please Note: Once created, we cannot migrate action plans back into your partner account.

If you are confident that assigning an action plan template via a base in a package is the way to go, then you can follow the following steps:

  1. Go to the "Packages" Home Screen.

  2. Click "Create Package" on the top right corner.

  3. Fill in your "Package Details" with a Name, Short Description, and Full Description.

  4. Click "Build Package"

  5. Click "Bases"

  6. Select the Base that you want to Include.

  7. Check the box for "Include Action Plan Templates?"

    • Alert Reminder: If you want centralized analytics for this action plan template, you do not want to include it in this package. It will create a separate action plan owned and operated by the client. This is ONLY a good option if the action plan template is belongs to the client process. We cannot migrate action plans back to your partner account once created in this way.

  8. Check the box for "Mirorred?" if you want any updates to this base to be mirorred in your client's account.

    • Alert Reminder: The action plan template is an exception and will NOT be mirorred as changes or updates are made.

  9. Want to include additional bases? click the "+" button on the left hand side.

Customer Asked Questions:

How can I manage my Action Plans in a single location (my partner account) and not for each client individually?

You can assign action plans directly to your clients without replicating the action plan into their account by following the steps above under "How to directly assign an Action Plan." Copying and managing the action plan in your client's account directly is almost never what you want to do. The one exception is if you are building an internal action plan—such as a new hire onboarding task list—that you want to distribute to the client's employees. Any content included in the action plan (cards / guides) will automatically work for your clients without it being mirrored into their account.
