This training covers a multi-branch workflow triggered by client purchases or signed contracts, managing tags, tasks, and pipeline updates. It automates payment confirmations, internal notifications, contract handling, and Google Sheets syncing for clean backend operations. From payment to onboarding, your entire post-purchase experience runs smoothly—automatically.

1. Start by selecting Automations from the menu.

1

2. Click “3 | Scaling Pack 🏛️ | Advanced”

2

3. Select “ Adv. Payments Received 💸” from the list.

3

4. Payments Received Automation is built to manage payments across all products.

✅ Review the triggers.

✅ Link your products.

✅ Pro tip: Duplicate this automation before making edits to keep the original intact.

4

5.Let’s cover the 🫶 | New Client Order Submitted - trigger.

This is where a new client purchase kicks off the automation.

5

6. Review the trigger details.

This step ensures that anytime a client buys, the automation starts.

Add extra filters as needed.

6

7. Review the trigger conditions.

7

8. Every trigger gets its own branch.

This keeps things clean and structured:

✅ Tags

✅ Contact updates

✅ Pipeline placement

✅ Task creation

✅ Messaging sequences

8

9. Let’s check out a branch. The first step is contact management.

✅ Assign a team member to manage the relationship.

✅ Tag the contact with “Client Paid ✍️” for proper payment tracking.

✅ Update the contact field with the product name to track purchases accurately in your system.

This ensures every client is properly categorized, making follow-ups seamless and automated.

9

10. Track, Assign, and Clean Up the Pipeline.

✅ Create an opportunity in the pipeline.

- Source – Where did they come from?

- Order Total – Tracks the payment value.

✅ Perform pipeline cleanup:

- Remove from the Leads Pipeline (they're now a paying client).

- Remove from the Sales Pipeline - **Add an Engagement Score (+5) to track client investment.

This keeps your pipelines accurate, organized, and primed for the next steps.

10

11. Next, we automate these three steps:

1️⃣ Create a task for internal payment processing.

2️⃣ Remove the contact from the auto-follow-up automation (they already paid).

3️⃣ Track sales with Facebook Pixel Data (if applicable).

11

12. Notify, Automate Contracts, and Track Payments.

✅ Send an internal notification via Slack or an internal action to alert your team instantly.

✅ Automate contract sending if required—payment and paperwork handled seamlessly.

✅ Update your spreadsheet by pushing all payment data to Google Sheets for easy tracking (optional but highly recommended).

12

13. Confirm Payment & Onboard the Client.

✅ Review & update your Payment Received templates (Email, SMS, WhatsApp) to ensure clients receive instant confirmation.

✅ Add them to your client onboarding automation for a seamless transition. This guarantees a smooth post-purchase experience, keeping clients informed and engaged.

13

14. Payments Received Automation also manages signed contracts.

✅ Triggers when a contract is signed.

✅ Filters contracts based on type.

14

15. This branch automates:

✅ Tagging the contact.

✅ Creating a team task to review the contract.

✅ Sending an instant notification that the contract is signed.

15

16. Stripe Ledger Integration (Optional).

Want every Stripe transaction logged automatically?

Set up a Webhook connection to push data to a Google Sheet.

16

17. OS Help Center has full setup instructions. If you need a walkthrough, head there now.

17

18. This branch formats the transaction date.

Automatically syncs the data to Google Sheets for easy tracking.

18

19. The Successful Payment Trigger.

This final trigger ensures that when a failed payment is successfully reconciled, the system knows to process the update.

19

20. Update the Contact’s Payment Status.

Once a payment is reconciled, update the contact’s payment status—from there, the Payment Management automation will handle the rest automatically.

20

21. Review the full automation. Update. Edit. Remove. Build.

This is your system—make it work for you.
