1. Navigate to Automations.
2. Select the "Advanced" automation folder.
3. Next, click on "16 | In-Person Events 🎤".
4. Understand the Purpose of the Automation
This automation is built to: - Promote your event - Send reminders before, during, and after the event - Adapt to in-person, webinar, or virtual event formats by modifying timing and messaging
5. Review Your Triggers
The automation is triggered when a contact is tagged with "Event Launch.
"Important! Contacts are also automatically added from the Payments Received Automation after they purchase a ticket.
6. Add an Engagement Score and Review Triggers
- Assign an engagement score to track interest levels.
- Ensure the correct trigger conditions are in place to branch the automation.
7. Understand the Two Automation Branches
This automation consists of two separate pathways:
1. Event Launch Branch – Triggered when a contact receives the "Event Launch" tag.
2. Event Reminders Branch – Contacts are added automatically after purchasing a ticket.
8. Review the Event Launch Branch
This branch focuses on sending pre-event promotional emails to drive sign-ups.
9. Optimize Email Deliverability
- Emails will be sent using a drip schedule to improve deliverability and reduce spam risk.
- If you are sending emails to a small list (under 100 contacts), you can remove this action.
10. Send Initial Pre-Event Campaign Messages
- The first round of pre-event messages will be sent to encourage registrations and engagement.
11. Continue Pre-Event Messaging for 3 Days
- The automation sends promotional emails over a three-day period.
- You can extend this sequence by duplicating sections or adjusting wait times.
12. Review the Event Reminders Branch
Once a contact purchases a ticket, they are added to this branch. Important:
Ticket confirmation messages are handled separately within the Payments Received Automation.
13. Set Your Event Start Date and Time
All event reminders will be scheduled based on this date and time.
14. Send Pre-Event Reminders
Automated reminders are sent leading up to the event to improve attendance rates.
15. Set Up During-Event Messaging
- These messages are sent during the event to collect feedback and adjust based on attendee needs.
- For virtual or single-day events, schedule these messages evenly or remove unnecessary ones.
16. Automate Post-Event Follow-Up
- The sequence concludes with a five-day post-event follow-up to: - Collect feedback - Offer additional products or services
17. Finalize Your Event Automation
Your automation is now configured, and you are ready to launch your in-person event.
