Calendar Sync Options

When setting up or editing your calendar, you'll encounter various "Sync Options". Understanding these options is key to optimizing your calendar integration.

Sync Options Explained

One-way Sync:

  • Description: Events from your Google calendar appear in grey on your CRM calendar. Appointments made in the CRM calendar sync back to Google, and the CRM blocks off time for events on the Google calendar. However, individuals invited to Google events won't be added as contacts in the CRM.

  • Recommended Use: This option is suitable for most situations, offering a balanced integration without overwhelming your CRM with contacts from every event.

Two-way Sync:

  • Description: Events from your Google calendar are displayed in your CRM calendar with distinct colors. The CRM identifies invitees in Google events and creates contact records for them, incorporating these contacts into any related calendar triggers.

  • Note: A color key for events on a Two-way sync calendar can be accessed by clicking the tiny blue-circled question mark next to the calendar dropdown.

Practical Examples and Use Cases

  • One-way Sync: Ideal for professionals who schedule meetings externally but want to avoid double bookings by reflecting these in the CRM calendar.

  • Two-way Sync: Best for businesses that host events or meetings and wish to automatically capture participant information in their CRM for follow-up communications.

Conflict Calendar

Events from third-party calendars added as conflict calendars are synced to the system, blocking your availability for the event's duration.

As the name suggests, we read all the events from the selected calendar and block off the timings when the user is not available. The availability is blocked only if the event is marked as 'BUSY' in the third party calendar. For events marked as 'FREE', the events are fetched in the system but the availability remains open.

This ensures accurate availability and avoids double bookings. You can add multiple calendars to be checked to prevent double bookings. In the Conflict Calendars section, we do not create any appointments, instead we just block off the time for any event already scheduled in your third party calendar.


Zoom/Video Conferencing

Enhance your virtual meeting management by integrating your Zoom account with your calendar bookings. This seamless connection simplifies the scheduling and organization of online meetings, ensuring that all participants receive the necessary information and that your workflow remains efficient and productive.

Start by navigating to the Calendar Settings within the My Profile section. Click on the "Add New" button to open the connection modal.

Connecting Your Zoom Account

To link your Zoom account, click the "Connect" button next to Zoom. This will open the Zoom sign-in page in a new window.

Sign In to Zoom

Enter your username and password on the Zoom sign-in page, then click "Sign In" to authenticate your account. Alternatively, you can choose to sign in using Single Sign-On (SSO), Apple, Google, or Facebook by selecting the respective icon.

Grant Permissions

Review the required permissions and click "Allow" to finalize the integration to enable Lead Connector to manage your Zoom account settings.

Zoom is now successfully integrated! You can manage this integration under the Video Conferencing tab in your profile.

Troubleshooting and FAQs

Q: What if events aren't syncing properly?

  • A: Ensure you've selected the correct sync option and that your external calendar is correctly linked to the CRM. Double-check the sync settings in both the CRM and your external calendar.

Q: Can I change the sync option later?

  • A: Yes, you can modify your sync preferences at any time by revisiting the Calendar Settings.
