Importing Billing Data

How to import billing data into SurgeTK: upload a file, map household IDs or account numbers, and select billing type and period.

Importing billing data ensures SurgeTK can accurately calculate fees, annual billing totals, and related reports. You can load both account-level AUM billing and household-level additional fees.


At a glance

  • Start the import from Households or Imports.

  • Choose Import account data, then select Billing Data.

  • On the upload step, you’ll choose the billing type (Household or Account) and the period (Month, Quarter, or Year).

  • Required fields:

    • Anchor ID (Household ID or Account Number, depending on type)

    • Amount (numeric value, no currency symbols)

  • Period is chosen in SurgeTK, not in your spreadsheet.

  • Upload one spreadsheet at a time (multiple files at once are not supported).

  • Confirm the column mapping and run the import.

  • SurgeTK supports both creating new entries and updating existing ones.

  • After completion, review the import report on the Imports page.


Before you start

  1. Download the Billing Import Template (recommended)
    This ensures your headers auto-map correctly.

  2. Required fields

    • Billing Type – you’ll choose Household or Account during the import flow.

    • Anchor ID

      • Household billing: use Household ID.

      • Account billing: use Account Number.

    • Amount – numeric only. Do not include currency symbols. Decimals are allowed.

  3. Optional fields

    • None. Period type and period key are chosen in SurgeTK, not in your spreadsheet.


Step 1 — Open the import modal

Start from either entry point:

  • Households: Go to Households → Click Add or Update buttonImport Data.

  • Imports: Go to Imports → Click Import button.


Step 2 — Choose what to import

  • Select Import account data.

  • Click Next.

  • From the list of import types, choose Billing Data.


Step 3 — Upload your spreadsheet

  • Upload one spreadsheet at a time.

  • On this step, you’ll also:

    • Select the Billing Type (Household or Account).

    • Select the Period (Month, Quarter, or Year, plus the specific period).

  • Your file does not need to contain period columns. SurgeTK applies the selected period to all rows.


Step 4 — Map your columns

Confirm that your spreadsheet columns map to the correct fields:

Billing Type (chosen during import, not mapped in file).
Anchor ID (Household ID or Account Number, depending on the billing type you selected).
Amount (numeric only).

Click Import when ready.


Step 5 — Monitor progress (don’t refresh)

A progress indicator will display:

  • Created — new billing records added.

  • Updated — existing billing entries updated.

  • Duplicates — duplicate rows flagged.

  • Failed — rows that could not be imported, with reasons listed.

Do not refresh the page until the import completes.


Step 6 — Review the import report

Go to Imports to view a permanent record of your billing import. From there you can:

  • Open the import report to see results.

  • Re-download the original spreadsheet you uploaded.


How SurgeTK calculates billing

  • AUM Billing – based on account-level imports. SurgeTK shows both actual and estimated billing coverage.

  • Household-level Additional Fees – planning fees, commissions, or other charges at the household level. Only actual values are used.

  • Grand Total = AUM Subtotal (actual + estimated) + Household Additional Fees (actual only).

Example:

Period: 12/31/2024 – 12/31/2025 AUM Billing Actual: $0 (Accounts have as little as: 0 of 12 months) Subtotal (AUM Billing): $0 Actual + Estimated. Account coverage: 0 complete, 0 partial, 1 no data Additional Fees (Household-level) Actual: $0 (0 of 12 months) Grand Total: $0

Best practices

  • Keep IDs consistent. Use the same Household ID or Account Number across all imports to prevent duplicates.

  • Amounts must be numeric. No dollar signs or formatting. Decimals allowed.

  • One file at a time. If your billing data spans multiple periods, run separate imports.

  • Choose the right billing type. Household vs. Account billing impacts where the data is stored and reported.


FAQs

Q: Can I import multiple files at once?
No. Upload one spreadsheet at a time.

Q: Do I need to include period columns in my file?
No. Select the period type and key (e.g., Month/2025-01, Quarter/2025-Q1, Year/2025) during the import step.

Q: What’s the difference between Household and Account billing?

  • Account billing (AUM) ties fees to specific accounts.

  • Household billing ties fees to the household as a whole (e.g., planning fees).

Q: Does the import create and update?
Yes. SurgeTK creates new billing records if none exist, and updates existing ones if a match is found.
