How do I request a plan configuration change?

To request a change:

  1. Include your company name.

  2. Describe the change you want to make.

  3. Provide the requested effective date.

  4. Include any additional details requested by your account representative.

Take Command will review the request and determine whether plan document updates or compliance requirements apply.

Can I change my QSEHRA allowance amounts?

Yes. Employers may request changes to allowance amounts for:

  • Single employees

  • Employees with a spouse

  • Employees with a family

Allowance amounts must remain within applicable IRS limits and may require plan document updates.

Resolving allowance discrepancies

Common Issues

  • Default Single Rate: Employees may receive the Single rate if no dependents are listed or proof of coverage is missing.

  • Incorrect Family Rate: Allowances may reflect the Family rate due to employer configuration, even if dependents are not enrolled.

Steps to Correct

  1. Verify Coverage Type: Confirm the employee’s coverage type (Single, Couple, Family) in the portal.

  2. Check Dependents: Ensure dependents are correctly listed and proof of coverage is uploaded.

  3. Review System Settings: Verify allowance settings in the employer’s portal or HRA HUB. To update an employee’s allowance classification from Single to Family:

  4. Update Allowance Classification: To update an employee's allowance from Single to Family, employees must add eligible dependents (spouse/children) to their profile in the portal.

  5. Provide Proof of Coverage: Upload documentation showing dependents are covered under the health plan.

  6. System Update: Once verified, the system automatically updates the allowance to the Family rate. For 2026, the IRS maximum allowance limits for QSEHRA are $6,450 annually ($537.50/month) for individuals and $13,100 annually ($1,091.67/month) for families.

Available waiting periods are:

  • 0 days

  • 30 days

  • 60 days

Can I change compliance verification frequency?

  • Quarterly

Can I change which employees are excluded from the QSEHRA?

Yes. Employers may request changes to eligible exclusion categories.

Common exclusion categories include:

  • Part-time employees

  • Employees under age 25

  • Seasonal employees

  • Employees who have not completed 90 days of service

  • Union employees

  • Non-resident aliens with no U.S.-source earned income

Changes to employee exclusions may require plan document updates.

Can I allow reimbursement of medical expenses?

Yes. Employers may choose whether employees can submit eligible medical expenses in addition to insurance premiums.

Available options are:

  • Yes

  • No

If medical expense reimbursement is disabled, employees may only submit eligible premium expenses.

Key takeaway

QSEHRA plan configuration changes must be requested through Take Command Support. Most plan design settings, including allowances, waiting periods, exclusions, reimbursement options, and rollover settings, cannot be edited directly in the Admin Portal.

Frequently asked questions about plan configuration changes

How do I set the waiting period to 0 days (immediate eligibility)?

Email support@takecommandhealth.com with your company name, the waiting period change you need (for example, 'change from 30 days to 0 days'), and the effective date. Include any affected employees' names if the change should apply retroactively to new hires already on the roster.

Take Command will update the configuration and regenerate required plan documents. Note: waiting period changes that affect employees already on the roster may need eligibility date corrections to be processed individually — CX will confirm what adjustments are needed.

Can I change the allowance amount mid-year?

Yes, allowance changes are permitted, but they must comply with IRS rules for your HRA type. For QSEHRA specifically, mid-year allowance changes require IRS-compliant notice to employees and updated plan documents.

Email support@takecommandhealth.com with your company name, the current allowance amounts, the new amounts you want, the requested effective date, and whether you want the change to apply only to new hires or to all active employees. CX will advise on the compliance requirements and processing timeline.

How long does a plan configuration change take to process?

Most plan configuration changes take 2–5 business days to process, including plan document regeneration. More complex changes — such as adding a new employee exclusion category or enabling medical expense reimbursement for the first time — may take longer if updated plan documents must be distributed to employees.

When you submit your request, include your desired effective date. CX will confirm whether the requested effective date is achievable and what employee notification requirements apply.

Can I change my plan to reimburse medical expenses in addition to premiums?

Yes. If your plan is currently configured for premium-only reimbursement, you can request a change to allow medical expense reimbursement as well. Email support@takecommandhealth.com with your company name and the requested effective date for the change.

Once the configuration is updated, employees' 'Add Expense' button will become available after their proof of coverage is approved and they have an available balance. Existing employees do not need to re-enroll — the change applies to all active participants.

Can I move an employee from one employee class or HRA entity to another?

Yes, but this requires coordination with Customer Experience because the employee's account email is tied to a specific employer entity. Email support@takecommandhealth.com with:

  • Your company name and the entity the employee is moving from.

  • The entity or class they are moving to.

  • The employee's name and email address.

  • The effective date for the transfer.

  • Whether there are any pending claims that need to be processed before the transfer.

Do not remove the employee and re-add them manually without CX guidance — this can create duplicate accounts or break the employee's existing claim history.
