HRA Hub Employer: Accessing Payroll & Reimbursement Reports

Payroll & Reimbursement Reports can be downloaded from the Reports section of the HRA Hub Admin Portal and are used for payroll processing and reimbursement administration.

How do I access Payroll & Reimbursement Reports?

To download a Payroll & Reimbursement Report:

  1. Log in to the HRA Hub Admin Portal.

  2. Click Reports in the left navigation menu.

  3. Select Historical Reports.

  4. Locate Payroll & Reimbursement Reports.

  5. Click Download next to the report you want to view.

The report will download as a CSV file.

How do I access Reimbursement Summary Reports?

To download a Reimbursement Summary Report:

  1. Log in to the HRA Hub Admin Portal.

  2. Click Reports.

  3. Select Historical Reports.

  4. Locate Reimbursement Summary Reports.

  5. Click Download next to the report.

These reports provide reimbursement totals by employee for a reporting period.

Note: The Expected Payroll Report (showing anticipated reimbursements before approval) and the Payroll & Reimbursement Report (showing approved amounts ready for payment) are separate report types, both accessible under Reports → Historical Reports. If you cannot find the specific report type you need, contact Customer Experience.

My report is missing — what should I do?

Find your situation below and follow the corresponding step.

The Reports section is not visible in my portal navigation

Contact Customer Experience — this indicates a portal access or account configuration issue that cannot be resolved through the portal itself.

My report hasn’t appeared yet (1st or 2nd business day of the month)

Monthly reports are generated on the 1st of each month. Allow until the end of the 2nd business day for the report to appear, then check again under Reports → Historical Reports.

My report is still missing after the 2nd business day

Contact Customer Experience immediately. Report generation failures require backend investigation by the support team and cannot be resolved through the portal. Do not wait — the report will need to be generated manually.

My report is visible but the data looks wrong or incomplete

Contact Customer Experience and describe the issue — for example, which employees are missing, which period is affected, or what amounts look incorrect. This may indicate incomplete enrollment or coverage data that needs to be corrected on the backend.

I need a report from a prior month or year

All historical reports are under Reports → Historical Reports. Use the date or period selector to navigate to the month you need. If a specific prior-period report is missing entirely, contact Customer Experience.


My report didn't generate automatically — what do I do?

Automatic report generation occasionally fails due to backend issues, especially around month-end processing. If your report is still missing after the 2nd business day of the month:

  • Email support@takecommandhealth.com with the subject line 'Manual report generation request'.

  • Include your company name, the specific month and report type needed (Payroll & Reimbursement Report or Reimbursement Summary Report), and your payroll deadline.

  • Take Command can manually generate and deliver the report — typically within one business day.

If you need the report urgently to run payroll, say so in the email. CX can prioritize same-day manual generation for time-sensitive payroll deadlines.


Which report should I use for payroll processing?

The reports serve different purposes:

If your portal only shows Expected Payroll Reports (not Payroll & Reimbursement Reports), your account may be configured on an older report type. Contact Customer Experience to confirm which report applies to your plan.


A specific employee is missing from the report

If an employee who should be reimbursed is not appearing on the report, common reasons are:

  • Their proof of coverage has not been approved — no approved coverage means no reimbursement appears on the report.

  • Their claims are still in Pending Review status — claims must reach Approved status before the report cutoff to appear.

  • They were not eligible during the reporting period — check their roster status for the period in question.

  • They enrolled or submitted claims after the reporting cutoff — they will appear on the next period's report.

Contact Customer Experience with the employee's name and the specific report period if the issue is unclear after checking these conditions.


Prior-year or older reports are missing from Historical Reports

If reports for prior months or prior plan years are not visible in Historical Reports, use the year/period filter at the top of the Historical Reports section to navigate to the correct period. Reports are organized by plan year.

If reports from before a system migration or portal update are missing entirely (not just hidden by the filter), contact Customer Experience — these may need to be manually retrieved and emailed to you.
