HRA Hub: How to access Payroll & Reimbursement Reports (Admin Portal)

This article is for employers and administrators using Take Command’s HRA Hub to manage payroll, reimbursements, and reporting.

Payroll & Reimbursement Reports in HRA Hub are accessed from the Reports tab in the Admin Portal and provide employee-level reimbursement, allowance, and deduction data for payroll processing.

How do I access Payroll & Reimbursement Reports?

Follow these steps:

  1. Log in to the HRA Hub Admin Portal as an administrator.

  2. In the left-hand navigation menu, click Reports.

  3. Select Historical Reports.

  4. Locate either:

    • Payroll & Reimbursement Reports (for payroll processing data)

    • Reimbursement Summary Reports (for monthly reimbursement totals)

  5. Click Download next to the report you need.

The file will download as a CSV or report file for use in payroll or spreadsheet tools.

What is the difference between Payroll & Reimbursement Report and Reimbursement Summary Report?

Use the correct report based on your goal:

  • Payroll & Reimbursement Report → Used for payroll processing, deductions, and premium tracking. It provides a detailed employee-level payroll and reimbursement data used for payroll processing. It offers detailed data on allowances, premiums, deductions (categorized into pre-tax and post-tax), expected reimbursements, and total covered members. It Includes coverage dates and plan types to provide employers with an all-encompassing perspective.

  • Reimbursement Summary Report → Used for monthly reimbursement totals by employee. It provides a monthly breakdown of each employee’s reimbursement amount. It includes information such as rollovers, claims from previous months, and total monthly amounts.

Both reports use the same underlying data but are structured differently depending on use case.

  1. Once on the Reports section, click on the Historical Reports subsection.

  2. Locate the specific report or statement you need, such as monthly or payroll summaries.

  3. Click the download button next to the desired report; the file will process and automatically download to your browser's default download location.

Understanding the Payroll & Reimbursement Report

The following information is available on the payroll report file: This report is distinct from the Reimbursements Summary Report, which focuses on monthly breakdowns, whereas the Payroll & Reimbursement Reports provide a comprehensive look at allowances, premiums, and deductions.

  • Employee Name

  • Reimbursement Time Period

  • Allowance

  • AutoPay Premium

    • Premium amount quoted by the carrier with the selected plan.

  • Reimbursable Premium

    • this is available if the employee does not have an autopay plan.

  • Pre-Tax Deduction

    • this is available if an autopay employee’s premium is greater than the allowance and the plan is available off-exchange.

  • Post-Tax Deduction

    • this is available if an autopay employee’s premium is greater than the allowance and the plan is available only on-exchange.

  • Reimbursements

    • This would apply to any reimbursement that is not a premium (i.e., medical expenses).

Itemized Funding Events

In the Funding Reports tab, you can now download a real-time CSV showing which employees are scheduled for upcoming funding. The report updates automatically based on new hires, terminations, qualifying life events, and completed plan shopping.

Understanding the Reconciliation Report

The following information is available on the payroll report file:

  • Business Unit Name

  • Employee Name

  • Reimbursement Time Period

  • Allowance

  • Expected Premium

  • Actual Premium Paid

  • Pre-Tax Deduction

    • This is available:

      • If an autopay employee’s premium is greater than the allowance;

      • If the plan is available off-exchange;

      • If there was a premium discrepancy between the expected and actual.

  • Post-Tax Deduction

    • This is available:

      • If an autopay employee’s premium is greater than the allowance;

      • If the plan is available only on-exchange;

      • If there was a premium discrepancy between the expected and actual.

  • Reimbursement

    • Reconciliation Report is for AutoPay only.

How do I interpret pre-tax vs post-tax deductions?

Deduction type depends on plan structure and premium vs allowance relationship.

Pre-tax deduction applies when:

  • Employee is on AutoPay

  • Premium exceeds allowance

  • Plan is eligible for off-exchange treatment

Post-tax deduction applies when:

  • Employee is on AutoPay

  • Premium exceeds allowance

  • Plan is only available on-exchange

If premium is less than allowance, no deduction will appear.

What is the AutoPay Activity Feed (related reporting tool)?

The AutoPay Activity Feed provides real-time tracking of premium payment activity.

You can use it to:

  • View payment status (paid, failed, refunded)

  • Filter by employee or carrier

  • Export transaction data to CSV

  • Track funding and payment events

This feed is used alongside payroll reports for reconciliation.

Why can’t I find a report in HRA Hub?

If a report is missing or unavailable:

  1. Confirm you are in the Historical Reports section.

  2. Ensure employee enrollment and coverage data is up to date.

  3. Check that the report date range is correct.

  4. Refresh the Reports page and try again.

Reports depend on accurate employee and coverage data, so incomplete onboarding can prevent report generation.

How often are Payroll & Reimbursement Reports generated?

Reports are typically generated on a monthly cadence based on your reimbursement cycle.

Your organization may have a configured schedule (for example, monthly or twice monthly). Reports reflect reimbursements and deductions calculated for that cycle.

Who should use these reports?

These reports are intended for:

  • Payroll administrators

  • Finance teams

  • HR operations teams

They are used to:

  • Process payroll deductions

  • Reconcile employer reimbursements

  • Validate employee allowance usage

  • Export data for accounting systems
