HRA Hub Employer: Managing Billing in the Admin Portal

The Billing section of the Admin Portal allows administrators to manage subscription billing, invoices, receipts, billing statements, and payment methods through the secure Stripe Customer Portal. If you're looking for an invoice, receipt, or billing document, you can find and download it here.

What is the Billing section?

The Billing section provides access to your organization's subscription billing information.

From Billing, you can:

  • View invoices

  • Update payment methods

  • Pay outstanding invoices

  • Manage billing information

All subscription billing is securely processed through Stripe.


How do I access Billing?

  1. Sign in to the Admin Portal.

  2. Select Settings.

  3. Select Billing.

  4. Select Update Payment Details.

You'll be redirected to the Stripe Customer Portal.


What can I manage?

Within Stripe you can:

  • View billing history

  • Download invoices

  • Update payment methods

  • Pay outstanding balances

  • Manage billing details

Common billing issues and how to resolve them

ACH verification — I submitted my microdeposit code but have no confirmation

After submitting an ACH authorization form and microdeposit verification code, you will typically not receive real-time confirmation within the Stripe portal or the Take Command Admin Portal. Stripe processes ACH verifications within 1–2 business days.

If you submitted your code more than 2 business days ago and your payment method still shows as unverified, contact Customer Experience with your company name and the date you submitted the code. They can confirm whether the verification was received and processed on the backend.


I cannot find the cancellation option in the Admin Portal

Some account configurations do not show a self-service cancellation option under Settings → Plan & Billing. If the option is not visible, you must submit a cancellation request through Customer Experience:

  • Email support@takecommandhealth.com with subject line: 'HRA Cancellation Request'.

  • Include your company name, the cancellation effective date you are requesting, and whether you need the HRA to remain active through a specific month-end (e.g., July 31).

  • CX will confirm the effective cancellation date and what final steps are required before access closes.

Do not cancel via Stripe — Stripe manages payment method and invoice access only, not HRA plan cancellation. Canceling in Stripe does not terminate your HRA.


I cannot update my payment method — the portal leads to the wrong place or the option is missing

To update your payment method: Settings → Billing → Update Payment Details. This opens the Stripe Customer Portal where you can add, replace, or remove a credit card or bank account.

If the 'Update Payment Details' button does not appear, or the Stripe portal does not show payment method options, contact Customer Experience — your billing configuration may need to be re-linked to a Stripe customer record.


I was charged after I requested cancellation — how do I get a refund?

If a charge occurred after your cancellation effective date, contact Customer Experience with:

  • Your company name.

  • The cancellation effective date you requested.

  • The charge date and amount.

  • Any email confirmation of your cancellation.

Include 'Billing review request' in the subject line. Credits are typically applied to the following invoice rather than reversed immediately — CX will confirm what applies to your situation.


I have a question about a specific charge on my invoice — what does it represent?

Take Command invoices you for the HRA administration service fee — not for employee insurance premiums. Each line item typically represents either a monthly platform fee or a per-employee fee based on enrolled participants.

If a charge amount appears unexpected or a line item is unclear, download your invoice from the Stripe portal (Settings → Billing → Update Payment Details → Billing History) and email it to support@takecommandhealth.com with a description of the discrepancy. My invoice amount looks higher or lower than I expected
