Auto-Approved Hot Desks

This article explains how auto approval works for hot desk bookings and how to manage your auto approval settings.

What is auto approval?

Auto approval allows Tally Workspace clients to book hot desks instantly, without you needing to manually accept the booking.

Venues with auto approval enabled receive up to 40% more bookings.

Important: You will still need to add each booking to your own calendar or booking system. This feature is best suited to venues with ample hot desk capacity that can accommodate instant bookings.

How does it work?

You can set a daily limit for how many desks are auto-approved, helping you manage capacity and avoid overbooking.

You’ll still receive an email from us with all booking details, including confirmation that the booking has been auto-approved. You will then need to log the booking in your own system.

We recommend choosing between 5-10 auto-approved hot desks per day. You can always amend the number or turn off the feature if needed.

How do I change my auto approval settings?

Log in to your venue account on Tally Workspace

Go to Spaces > Desk > Edit

Scroll down to the Auto Approval settings (near the bottom of the page).

From here you can turn auto approval on or off, as well as editing the number of desks you want to have auto approval turned on for.

For example, setting this to 10 means up to 10 hot desk bookings per day will be automatically approved. Any bookings beyond this limit will be in the “requested” status.
