How to add and assign permissions to your people inside Tandem

Managing People in Tandem

Tandem works best when your entire organization uses it together.

By inviting the right people to help manage your organization’s schedule, Tandem becomes even more powerful. When everyone logs into one master calendar with the appropriate permissions, Tandem ensures your organization is fully scheduled and nothing is double-booked. It’s like giving your entire team a scheduling superpower.

In Tandem, you can add users with different roles and permissions so each team member has the right level of access.

There are several types of users:

Admin

Admins have full permissions. They can add and edit all events without approval, view both public and private events, and add people, facilities, groups, and equipment to your Tandem account.

Manager

For any school, facility, group, or equipment they manage, Managers can add and edit events without approval, approve event requests, and (optionally) add or remove other managers, members, and followers. Managers can view both public and private events. Their permissions are defined by Admins.

Author

Authors can create events, but their events must be approved by a Manager or Admin before they appear on the calendar.

Private Viewer

Private Viewers are staff members who can see both public and private events.

Public Viewer

Public Viewers can see all public events on your calendar and follow specific events to receive notifications when changes occur.


Why Adding People is Important

By inviting the right people into Tandem:

  • Admins and Managers can share scheduling responsibilities.

  • Authors can create events without giving them full approval rights.

  • Viewers (private or public) can stay informed of events without being able to edit or approve them.

  • You can assign Managers to specific facilities, groups, or equipment so approval responsibilities are distributed correctly.


How to Start Adding People

  1. Go to My Organization > People.

  2. Enter the person’s email, first name, and last name.

  3. Select their user type (Admin, Manager, Author, Private Viewer, or Public Viewer).

Depending on the user type you select:

  • You may have the option to allow or disallow them from viewing all private events.

  • You can assign them as members of groups. This allows certain public viewers to see private events for their group (contact our team to enable the “Allow group members to see their group’s private events” setting).

  • If the user is a Manager, you’ll see the Managing Permissions area. Here you can assign which schools, facilities, groups, or equipment they manage, and toggle their approval rights for each one.
