Managing Approval Workflows in Tandem
One of the most powerful ways to create efficiency for your scheduling team is by setting up an Approval Workflow.
Many events require multiple people to confirm details before they can happen. Tandem allows you to customize the approval process so that everyone who needs to review an event is notified in the right sequence, at the right time. This ensures every event is fully approved and nothing is double-booked.
Approval Workflows can be created for any facility, group, or equipment in your account. Workflows may be simple (one step with one approver) or complex (a series of steps involving multiple people inside and outside your organization). Workflows can also require documentation, PDF uploads, or payment confirmations before moving forward.
Why Adding Approval Workflows is Important
By defining workflows in Tandem:
Event requests are routed to the correct approvers automatically.
Approvers are notified both in Tandem and by email when their input is required.
Events do not appear on the live calendar until the workflow is complete, ensuring accuracy and accountability.
Changes to events automatically restart the workflow so the entire team is aware of updates.
Your team gains efficiency by using one master calendar that manages confirmations digitally.
It will feel like Tandem is an additional member of your scheduling team, working around the clock to keep everything on track.
How to Start Adding Approval Workflows
Ensure your facilities, groups, equipment, and people are already set up in your Tandem account.
Navigate to the Approval Workflow icon next to any facility, group, or equipment.
Create the steps and add the approvers needed at each step.
Each step can include one or multiple approvers.
You can configure whether a single approval is sufficient to move forward, or whether all listed approvers must approve before the request advances.
Add as many steps as needed to reflect your organization’s internal process.
Save the workflow. Event requests will now automatically follow the sequence you’ve created.
How Approval Workflows Function
Each event request appears in the approver’s inbox with the appropriate action buttons.
An email notification is also sent to approvers when their review is required.
Users in later steps will not be involved until earlier steps are completed.
If an event is edited, the workflow restarts to ensure all changes are reviewed and approved.
