How to add single events onto your calendar

Adding Events in Tandem

Tandem empowers your team with one master calendar, ensuring all events are scheduled in one place and nothing is double-booked. By adding all your events to Tandem, your entire staff and community have a central source for event information and updates.

Tandem also makes it easy to confirm events with external facilities, groups, or equipment, so everyone stays in the loop if anything changes.

Once your account is set up with facilities, groups, and equipment, the people you’ve assigned the right permissions can log in and begin adding events. The Add Event Wizard will automatically display all your custom facilities, groups, and equipment, making event creation fast and accurate.

Tandem allows you to:

  • Create single events one at a time.

  • Add multiple events at one time using an Event List. (click here for an overview of Event List)

Both methods automatically run conflict checks to prevent double-bookings before adding the event to your calendar.

If an event involves an external facility, group, or equipment, Tandem will prompt you to provide an email address for confirmation. Tandem saves this contact for future requests to streamline the process. Once the external party confirms, you’ll receive a notification and email from Tandem.
Adding events You can add or request events on your Tandem calendar in two ways:

  • Select Add Event from the navigation bar.

  • Tap the + icon when hovering over a specific date on the calendar.

When creating an event, you’ll see the following fields:


Basic Event Information

  • Featured Image – Optional image for special events.

  • Name – The event name as it will appear on the calendar. (Tip: many users include school abbreviations, e.g., BHS Drama Rehearsal.)

  • Description – Shown on the event details page and in the calendar hover view.

  • Date – The date of the event.

  • Start Time – When the event begins.

  • End Time – When the event ends.


Event Settings

  • Private – Mark the event as visible only to staff, not the public.

  • All Day – Select if the event lasts all day.

  • Recurs – Select if the event repeats; complete the recurrence details.

  • Overnight – Select if the event spans multiple days.

  • Setup & Breakdown – Add setup and breakdown times (affects conflict checking).

  • Depart & Return – Add simple depart/return times. (Do not use if also submitting a transportation request.)

  • Key Date – For non-event dates such as holidays. (Tip: use the Yearly Calendar Wizard to add key dates more easily.)


Event Resources

  • Locations – Choose a facility you own or an external venue. (Tandem uses Google’s API to suggest remote locations.)

  • Participants – Select groups from your organization involved in the event.

  • Equipment – Add any equipment or resources needed.


More Options

  • Virtual Meeting Link – Include a link to online conference tools (Zoom, Teams, etc.).

  • Tags – Add departments, activities, or event types.

  • Contacts – Add key contacts for the event.

  • Notes – Public documentation visible on the event page.

  • Attending – Expected number of attendees.

  • Setup Instructions – Private instructions for setup (visible only to staff with private access).

  • Setup Image – Private setup image (visible only to staff with private access).

  • Attachments – Public files for the event.

  • Private Attachments – Files visible only to private viewers.

  • Email & Text Notifications – By default, followers of the locations and groups involved will receive updates. Uncheck to disable notifications.

  • Get Approval – Force the event through the approval workflow, even if you have permission to publish directly.

  • Save as Template – Save the event details for future use. (The event itself will not be added to the calendar.)

  • Tentative Event – Add the event in grey, visible only to private viewers.


Transportation Requests

If you have Tandem Enterprise or are trialing Tandem, you can also request transportation:

  • School Depart – Expected departure from school.

  • Destination Arrival – Expected arrival at remote location.

  • Destination Depart – Expected departure from remote location.

  • Return Arrival – Expected arrival back at school.

  • Adults – Number of adult passengers.

  • Students – Number of student passengers.

  • Wheelchair Slots – Number of wheelchair-accessible seats needed.

  • Storage Compartments – Number of storage compartments required.

  • Transportation Request Notes – Notes for the driver or transportation office.

  • Budgets/Bill Tos – Select the budget this trip should be billed to.

  • Other Budget/Bill To – Add any additional billing information.
