How to import events from csv file.

Importing Events into Tandem

Importing events from other systems may take a little setup work, but it can save significant time in the long run.

Before importing events, make sure you have entered or imported:

  • Groups (e.g., sports teams, clubs) in My Organization > Groups

  • Facilities in My Organization > Facilities

  • Outside Locations in My Organization > Other People & Locations > Other Locations

You can also import groups and locations from CSV files. Keep in mind: the names in your import file must match exactly with the groups and locations already in Tandem for the import to succeed.


How to Import Events

  1. Go to the Add Event Wizard.

  2. Scroll to the bottom and click Import Events.

  3. Download the example file for a spreadsheet with the proper headers, or edit your existing file to match Tandem’s header requirements.

  4. Save the file as a CSV (not Excel format).

  5. Upload the CSV into the form. Tandem will validate the file before importing.

(Note: If errors are found, Tandem will display them and stop the import (so nothing incorrect is added). You can also Undo an Import after it has been completed so long as you don't click 'Accept' in the notification bar.)


Required and Optional Columns

Your import file can include the following fields:

  • Required Columns (*):

    • Name

    • Start Date (or Startdate, Date Start)

    • Locations

    • Participants (Groups)

  • Optional but Common Columns:

    • Description

    • Private (Yes or No)

    • End Date / End Time

    • All Day (t, f, blank)

    • Setup / Breakdown Times

    • Depart / Return / Dismissal Times

    • Schools, Departments, Event Types, Activities

    • Equipment, Contacts

    • Adults, Students, Wheelchairs

    • Notes, Setup Instructions

    • Status (Active, Cancelled, Tentative)

    • Get Approval (Yes, Y, True, t)

  • Recurrence Fields (if applicable):

    • Type (None, Daily, Weekly, Monthly, Ad Hoc)

    • Interval (integer for Daily, Weekly, Monthly)

    • Limit (date for recurrence end)

    • Weekly/Monthly day selectors (Sunday–Saturday, First–Fifth)

    • Ad Hoc Dates (list separated by “|”)

    • Exclude Dates (list separated by “|”)

  • Billing / Import Metadata:

    • Budgets / Bill Tos

    • Import Type, Group, ID


Notes

  • ^ Reference Columns (e.g., Groups, Locations) must reference existing items in Tandem. Multiple values can be separated with a pipe |. (The Pipe symbol is part of the standard keyboard layout in Windows and Mac. It is available on the backslash key just above the enter key.)

  • ! Distinct Columns must be unique.

  • Tandem will reject the entire file if errors are found, preventing partial or incorrect imports.
