How to setup and get started renting out your Facilities in Tandem

Managing Facility Rentals in Tandem

Whether you want the public to request facilities directly in Tandem or you prefer to enter rentals yourself, the Facility Rentals feature (available in Tandem Enterprise) allows you to manage and monetize spaces that are not in use. By scheduling all of your organization’s events and rentals in Tandem, you always know which facilities are available and when.


Why Setting Up Rentals is Important

By using Tandem for facility rentals:

  • You can generate revenue when your spaces are not being used by your organization.

  • Groups are invoiced at the correct rate based on their type (e.g., nonprofit vs. for-profit).

  • Required documentation, approvals, and payment details are all captured in one system.

  • Availability is clearly defined, preventing double-bookings.


How to Start Setting Up Rentals

  1. Sub-Group Types – Define the categories of rental groups and their billing rates.

    Examples: Nonprofit, For-Profit.

  2. Other Groups – Enter the rental groups and assign each to a Sub-Group Type so they are charged correctly.

  3. Pay Rates – Set rental costs. Options include hourly rates, per-attendee fees, tiered ranges, and more.

  4. Line Items – Use the Pay Rates to assign required or optional fees to facilities.

  5. Forms – Upload any additional forms renters must complete (e.g., proof of insurance).

  6. Available Times – Define the days and hours when facilities can be rented.


Making Facilities Rentable

  1. Go to My Organization > Facilities.

  2. Find the facility you want to make rentable and click Edit.

  3. Check the Rentable box.

  4. Add a Capacity.

  5. Select at least one Available Time.

  6. Click Modify to save.

Once these steps are complete, your facilities are ready for rental requests, and you can begin entering or accepting reservations.
