Invoice Autopilot - Selecting Specific Invoice Periods

The Invoice Autopilot Add-on allows you to create schedules that will generate invoices automatically. This article will explain how you can create weekly schedules with specific invoice periods that end on certain days.

Below you can find an example of an invoice autopilot schedule that will generate weekly invoices every Saturday and cover an invoice period of Sunday - Saturday.

Example

A weekly invoice that’s sent on Saturdays for the previous week for all upcoming individual lessons.

Schedule Settings

Schedule Title - If you’re planning to add a number of schedules, choose a title that will make it easy to spot this schedule if you want to make any adjustments in future.
Schedule Begins/Ends - This can be set far into the future - it defaults to a year.
Invoice Repeat: Weekly, every 1 week on Saturdays.
Timing - Generate Invoices at the end of the invoice period (this allows you to add the previous weeks lessons and bill after they have taken place).

NOTE: When creating a weekly invoice autopilot schedule, the day that you select for the "Invoice Repeat" settings will determine if it is the first day (beginning) or last day (end) in the invoice period.

Once you’ve created the Invoice Autopilot Schedule, you can view the dates on which invoices will be generated and sent. To do this, please follow the steps below:

  1. Click on "Billing" and then click on "Invoice Autopilot Schedules".

  2. Click the "View" icon in the relevant row.

  3. A page will display with a summary of your settings as well as the schedule in the "Upcoming Invoice Dates" section.

Invoice Date - The date that will display on the invoice.
Create Date - The date on which invoices will be generated
Invoice Period - The date range that will be used to pull lessons from the calendar on to each invoice.
Status - Once invoices have been created, the status will update to “Completed”
