Invoice Surcharge Add-on

This add-on allows you to create and add surcharges to your invoices with fixed and/or percentage amounts.

Enabling the Add-on

  1. Go to the "Account & Settings" tab and click on "Integrations & Add-ons".

  2. Use the "Search" field on the right and enter "Invoice Surcharge".

  3. Click on "Enable" under the add-on's section.

Creating an Invoice Surcharge

An Invoice Surcharge record is made up of the following 4 fields:

  1. Name - Appears in the menu for selecting a surcharge to apply

  2. Label - This label will appear on invoice

  3. Fixed Amount - Fixed surcharge amount.

  4. Percentage Amount - Surcharge percent of invoice subtotal

To create an invoice surcharge, please follow the steps below:

  1. Click on "Manage" under the Invoice Surcharge Add-on.

  2. Enter the Name, label, fixed amount and/or percentage amount.

  3. Click "Save".​

You can add additional surcharges by clicking on the "Add New Surcharge" link at the bottom of the Invoice Surcharge list.

You can also select a surcharge to use as the default surcharge using the Default Surcharge section. The selected surcharge will be set as the default when creating new invoices.

NOTE: The above setting pre-selects the surcharge on the Add/Edit Form for Invoices and Invoice Autopilots. In order for the surcharge to be applied to an existing Invoice Autopilot, you will still need to edit the Autopilot Invoice Settings so that the settings are saved with the surcharge.

Adding a Surcharge to Invoices

Single Invoice

In order to add an invoice surcharge you have created to a single invoice, please follow the steps below:

  1. Click on "Billing" at the top and select "Create a single Invoice".

  2. Click on the "Surcharge" field and select the surcharge you'd like to apply.

  3. The amount of the invoice will be updated to include the surcharge fees.

  4. Save or Approve the Invoice.

Multiple Invoices

You can add an invoice surcharge to multiple invoices at once using the "Create Multiple Invoices" option, found under the billing section. After clicking on "Create Multiple Invoices", the steps to add the surcharge are the same as they were for a single invoice.

Invoice Auto-Pilot Schedules

To add a surcharge to an Invoice Auto-Pilot schedule, please follow the steps below:

  1. Click on "Billing" and then click on "Add Invoice Schedule".

  2. Fill out the Schedule Settings and then click on "Next".

  3. Select the surcharge you'd like to apply in the Surcharge Field.

  4. Click on "Save".

Website Booking Plugin

To add a surcharge to the Website Booking Plugin, please follow the steps below:

  1. Click on "Account & Settings" and then click on "Integrations & Add-ons".

  2. Click on "Settings" under the Website Booking Plugin.

  3. Scroll down to the "Payment Settings" section.

  4. Select the surcharge you'd like to apply in the "Apply Invoice Surcharge" field.

  5. Submit the form to save your changes.

NOTE: You'll need to have payments enabled in order to enable this setting. You can find more information about this here: Paying through the Website Booking Plugin.

Invoice Notification Templates

When this add-on is enabled, two merge tags will become available for use with all invoice email templates, including those created through the Custom Invoice Emails Add-on. The merge tags are as follows:

  1. {INVOICE-TOTAL-MINUS-SURCHARGE} - Displays the Invoice Total without the added Surcharge.

  2. {INVOICE-BALANCE-MINUS-SURCHARGE} - Displayed the Invoice Balance without the added Surcharge.
