There are a few different methods that you can use to email an invoice to your customers in Teachworks. There are a few rules that apply to each of these methods:
The invoice status must be either "Approved" or "Paid" in order to be able to send it. Invoices with the status "Saved" will not be sent.
The customer listed on the invoice must have a valid email address listed on their profile.
Method 1 - Sending an Invoice when it is Created
If you want to send a single invoice while you are creating the invoice, you can click on the "Send Invoice Email" check box and then click the "Approve" button.
Method 2 - Sending a "Saved" Invoice
If you've created an invoice in the "Saved" status without approving it, you can email the invoice to the customer by using one of these options:
Edit the invoice and click on the "Send Invoice Email" checkbox and then click the "Approve" button.
Filter the Invoices table to display "Awaiting Approval" invoices and then use the checkboxes on the left-hand side of the Invoices table to select the invoices you'd like to approve and email. In the menu that appears at the top of the table, select the "Approve & Send" option and then click on "Submit".
Method 3 - Sending an "Approved" Invoice
If you've already approved an invoice and want to send or resend it to your customer, you can follow the steps below:
Click on "Billing" and then click on "Invoices".
Click on the "View" icon to view the invoice you'd like to send.
Click on the "Email" button at the top of the invoice.
A window will open where you can edit the recipient, subject and message.
Click the "Submit" button to send the email.
Method 4 - Sending Multiple Invoices
You can send one or more invoices at once by following the steps below:
Click on "Billing" and then click on "Invoices".
Use the checkboxes on the left-hand side to select the invoices you'd like to send.
A menu will appear at the top of the Invoices table. Use this to select the email template you wish to use.
Click on "Submit" button to send the invoice emails to the selected customers.
