Profile Attachments Add-On

The Profile Attachments Add-On allows you and your employees to attach documents to employee, family and student profiles, as well as clients to attach documents to their own profiles.

Enabling the Add-on

  1. Click on "Account & Settings" and then click on "Integrations & Add-Ons".

  2. Use the "Search" field on the right and enter "Profile Attachments".

  3. Click on the "Enable" link.

Once enabled, an "Attachments" section will be displayed on employee, family and student profiles.

Settings

  • Client Permissions - When this setting is set to "On", your clients will be able to attach new files to their own profiles.

  • Employee Permissions - You can set permissions for teachers and staff under the "User Access & Permissions" section using the "Upload Files" field on individual employee profiles.

NOTE: Client permission to edit files attached to their profile by other users is set for individual files when the files are attached.

NOTE: If you set the "Manage Files" permission on a Staff profile to "On", they'll be able to view files on a student's profile that has a "Hidden" status to employees. If this permission is set to "Off", they will not be able to view "Hidden" files.

Attaching Files to Profiles

You can follow the steps below to attach a file to a student, family or employee profile:

Family/Student Profile

  1. Click on "Students" and then click on "Students" or "Families".

  2. Click on the first name or last name of the student or family you'd like to attach the file to.

  3. Scroll down to the "Files" section.

  4. Click the "Add" link next to the "Files" heading.

  5. Complete the form to add the file.

Employee Profile

  1. Click on "Employees" and then click on "Employee List".

  2. Click on the first name or last name of the employee you'd like to attach the file to.

  3. Scroll down to the "Files" section.

  4. Click the "Add" link next to the "Files" heading.

  5. Complete the form to add the file.

File-Level Access

When attaching files to a profile you will be able to set access for employees, customers (families and independent students) and/or students relating to that file. Files can be hidden, visible or editable.

NOTE: Documents or files that are uploaded to profiles are not required to be completed.

Viewing Profile Attachments

After an attachment has been added to a profile, the file will be displayed under the "Files" section. You can then click on the link to the file to view the attached file.

Secure Links

Files are stored on Amazon S3 and have secure links that expire after 10 minutes. If the file links have expired a message will appear in the files section indicating this. In order to generate new secure links to the files, you can refresh the profile page.
